Customer Experience Coordinator (Relief) - Indianapolis, IN (Nora)

VEG is a rapidly growing emergency veterinary company focused on delivering exceptional experiences for pet owners and their pets. We are seeking an outgoing, organized Customer Experience Coordinator (Relief) to shepherd customers through visits, manage communications, resolve issues empathetically, and help continuously improve the patient and client journey in a fast-paced emergency hospital.

Responsibilities

  • Answer and triage incoming calls, texts, and emails promptly and professionally
  • Greet and check in customers on arrival, announce them to the clinical team, and manage wait times
  • Record and maintain accurate customer, payment, and referral information in practice software
  • Transfer medical calls to clinicians quickly and initiate video chats when needed
  • Monitor workflow bottlenecks, solicit feedback, and implement improvements to customer flow
  • Process payments and assist customers with financial options confidentially
  • Follow up with customers 24 hours after visits and capture feedback (NPS/surveys)
  • Resolve customer complaints with empathy and escalate appropriately
  • Create personalized and memorable experiences for customers and their pets

Education

  • High school diploma or equivalent
  • 2+ years of experience in customer service or related role
  • Comfortable using practice management/CRM and payment systems
