Customer Experience Coordinator (Part-Time) - Indianapolis, IN (Nora) - job 1 of 2

VEG is a rapidly growing emergency veterinary network focused on delivering exceptional care for pets and outstanding experiences for pet parents. We are seeking a personable, organized Customer Experience Coordinator to shepherd clients through their visit, manage communications, optimize wait times, and create a welcoming, compassionate environment in our Nora (Indianapolis) hospital.

Responsibilities

  • Answer and triage incoming phone calls, texts, and emails promptly and courteously
  • Greet and check in customers upon arrival; announce them to the clinical team
  • Record and maintain accurate client, patient, referral, and payment information
  • Transfer medically related calls to doctors quickly and appropriately
  • Monitor wait times, identify bottlenecks, and coordinate with staff to improve flow
  • Manage payments and financial records securely and accurately
  • Follow up with clients by call/text 24 hours after visits
  • Collect and share customer feedback and positive comments with the team
  • Anticipate customer needs, resolve complaints empathetically, and escalate when necessary
  • Create personalized, hospitality-driven touches (beverages, celebrations, video chats) while respecting confidentiality

Education

  • High school diploma or equivalent required
  • Associate degree or relevant certifications preferred
