About the Role

We are looking for a reliable, organized, and proactive Office Coordinator at Ramp to work at our Miami Office to ensure the smooth day-to-day operations of our office. This role involves administrative support, coordination of office activities, and being the point of contact for internal and external communications. The ideal candidate thrives in a fast-paced environment and takes initiative to improve office systems and processes.

What You’ll Do

  • Oversee daily office operations and ensure a clean, organized, well-stocked, and fully functional work environment

  • Greet and assist visitors, clients, and vendors as the first point of contact

  • Manage incoming and outgoing correspondence, including phone calls, mail, and emails

  • Coordinate meetings, appointments, and conference room bookings

  • Maintain and order office supplies and equipment

  • Support HR and Finance with administrative tasks such as onboarding, time tracking, or invoice processing

  • Manage office calendars and assist with travel arrangements

  • Ensure office policies and procedures are up to date and followed

  • Assist with organizing company events and internal communications

  • Liaise with facility management, IT support, and service vendors

  • Positively Influence company culture and employee morale by organizing engagement activities including team events, company parties, employee celebrations, happy hours, team off sites etc.

  • Assist the Executive Assistant team and team leads with special projects and coordinating lunch orders/logistics for onsite VIP events, offsites and other meetings

What You Need

  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines

  • Excellent verbal and written communication skills; professionalism in person, by phone, and via email

  • Proficiency with Google Workspace or similar tools

  • Detail-oriented, proactive mindset with a can-do attitude and comfort taking initiative

  • Ability to lift/move office supplies and equipment (up to 25 lbs) and oversee basic facilities tasks

  • Ability to work on-site 5 days per week

Nice-to-Haves

  • 1+ years of hospitality, administrative, or office coordination experience, preferably in a fast-paced environment

  • Bachelor’s degree in Business Administration, Communications, or related discipline

  • Bilingual proficiency in English and Spanish (Miami office focus)

  • Experience supporting cross-functional teams in a technology or high-growth startup environment

  • Experience coordinating travel arrangements and expense reconciliation

  • Event-planning background, including off-site logistics and catering coordination

  • Vendor-management skills and comfort liaising with facilities, IT, and external partners
