Executive Assistant

Apollo.io is a fast-growing, AI-native go-to-market SaaS platform used by hundreds of thousands of companies globally. The Executive Assistant will support the Head of Sales and Head of Customer Success, managing calendars, meeting coordination, travel and event logistics, and partnering with the EA to the CRO on revenue-wide initiatives to ensure smooth GTM operations.

Responsibilities

  • Manage and optimize active calendars for the Head of Sales and Head of Customer Success, aligning internal and external priorities.
  • Anticipate scheduling needs, prepare agendas, and supply executives with necessary context and materials.
  • Plan, organize, and execute leadership meetings, all-hands, cross-functional sessions, and prep materials.
  • Take detailed meeting notes and track follow-ups to ensure timely action item completion.
  • Coordinate travel, accommodations, and itineraries for sales and customer success leaders.
  • Manage logistics for events, dinners, offsites, and team gatherings.
  • Partner with the EA to the CRO on revenue-wide programs (e.g., annual RKO, quarterly planning, GTM alignment).
  • Work cross-functionally with Sales, Customer Success, Marketing, and other teams to ensure coordination and follow-through.
  • Support special GTM projects including project management, event coordination, and operational support.

Education

  • High school diploma or equivalent required
  • Bachelor's degree preferred but not required
