PPCCC is a trusted provider of high-quality, affordable reproductive health care along California’s Central Coast. Each year, PPCCC provides 28,000 people on the central coast with health care services; including sexually transmitted infection testing and treatment, birth control, breast and cervical cancer screenings, vasectomies, and safe and legal abortion care at our six health center locations. PPCCC also provides comprehensive sexuality education programs to help adults and teens make healthy decisions, prevent unintended pregnancies, and avoid sexually transmitted infection.
JOB SUMMARY:
Provides administrative support to the COO and CFO. Directs/Coordinates Special Projects, as assigned by the COO and CFO. Due to the nature of the role, confidentiality and discretion are essential.
Schedule:
40h/week
ESSENTIAL FUNCTIONS:
· Facilitates the smooth functioning of the offices of the COO and CFO, and their assigned Board committees including Audit & compliance and Finance.
· Serves as primary contact for vendors, coworkers, and the public for information, scheduling, or other assistance with the COO and CFO. Obtains and adheres to communication preferences (BoardEffect, e-mail, phone, fax, etc.).
· Accurately transcribes and disseminates minutes of requested staff and committee meetings for the COO and CFO, which currently includes Compliance, Quality, Risk & Management (CQRM), Clinical Services & Finance, Operations Team meetings, and other meetings as needed.
· Compiles and maintains sensitive and confidential data as requested by COO and CFO.
· Prepares and sends correspondence, reports, etc. as requested by COO and CFO.
· Coordinates, ensures accuracy, and submits expense reports for the COO and CFO, as well as tracks and checks COO direct reports’ expense reports.
· Coordinates contract tracking and insurance certificate requests as directed by COO and CFO.
· Serves as resource for assisting the COO, CFO, and their direct reports for proofreading and formatting of various documents.
QUALIFICATIONS:
· Excellent written and verbal communication skills
· Previous experience working with a non-profit Board of Directors highly desirable
· Ability to demonstrate mature judgment, initiative, and critical thinking
· Ability to manage multiple priorities and be flexible
· Ability to respond effectively to sensitive inquiries or concerns
· Ability to organize large amounts of data/information in a way that all levels of staff can understand
· Candidate must be able to travel within PPCCC geographic area (Thousand Oaks to San Luis Obispo)
EDUCATION and/or EXPERIENCE:
· AA/BA in Business Administration or equivalent experience
· 2-4 years in an executive administrative level position
· Must have excellent Microsoft Office skills (Word, Excel, PowerPoint)
· Must be comfortable using video conferencing platforms (Zoom, GotoMeeting)
Planned Parenthood California Central Coast’s (PPCCC’s) compensation philosophy supports the organization’s mission, vision, and values. Each position has a salary based on market value and the organization’s pay levels. Starting pay is $78,478/annual. As part of our commitment to pay equity, PPCCC does not negotiate salaries.
Pay Differential: $1.00/hour bilingual Spanish/English differential pay is offered upon passing the language assessment test.
