Job Description

The Project Administrative Assistant plays a key role in supporting both Project Administration and Project Management, ensuring accuracy, organization, and efficiency across all project-related tasks.

This position requires strong multitasking skills, customer service experience, and the ability to adapt to evolving priorities. The successful candidate will bring a positive, can-do attitude and thrive in a supportive team environment.

Supports the Contracting Department by performing the following:

  • Assists in the preparation of project schedules, invoices, and supporting documentation.
  • Maintains organized, accurate records of all project information for tracking, reporting, and presentation.
  • Communicates with clients to clarify requirements, scope, and objectives.
  • Assists in monitoring project progress, scheduling, and status updates.
  • Provides general administrative assistance to Project Administrators and Project Managers.
  • Supports data entry and document management processes.

Provides general administrative office support by performing the following:

  • Answers, screens, and directs phone calls.
  • Handles clerical duties such as photocopying, scanning, filing, and collating.
  • Performs other administrative tasks as needed.

Skills & Abilities

Spanish fluency is required to perform this job efficiently.

  • Customer Service & Communication: Strong interpersonal skills for liaising with clients, project managers, and internal teams to ensure project requirements are clearly defined and met.

  • Administrative & Clerical Proficiency: Skilled in managing project documentation, maintaining organized records, and preparing professional correspondence to support project workflows.

  • Problem-Solving: Demonstrates the ability to apply practical reasoning to resolve scheduling conflicts, documentation discrepancies, and other project-related challenges.

  • Communication & Interpersonal Skills: Strong written and verbal communication skills for coordinating with clients, project managers, and team members regarding project requirements, scheduling updates, and reporting needs.

  • Analytical & Project Support Skills: Ability to review project data, identify discrepancies, and collaborate with project administrators and managers to ensure accuracy in proposals, schedules, and documentation.

  • Mastery of the English Language: Comprehensive knowledge of the English language structure, including grammar, composition, and effective business communication, ensuring clarity in project documentation and correspondence.

  • Education and/or Experience: Associate’s degree (A.A.) in Business Administration or related field; or at least two years of related experience and/or training in project administration; or an equivalent combination of education and experience.

  • Computer Skills: Proficiency in Office365 (Word, Excel, Outlook, Teams) and familiarity with collaboration tools such as RingCentral. Experience with project management or CRM platforms is a plus.
