The Senior Administrative Assistant will report to and support the Head of Global Medical Immunology, Respiratory and support the Head of Global Medical Immunology, Dermatology, along with their respective teams. Operating within a complex, global organization, this position requires exceptional organizational abilities and technical competence to effectively manage multiple priorities while maintaining relationships with numerous internal and external partners. The role encompasses comprehensive administrative support including travel management, expense reporting, meeting coordination, and daily operational oversight. Success in this position demands strong oral and written communication skills, flexibility, and the ability to handle multiple concurrent tasks with varying priorities. As a key member of the Global Medical Immunology teams, this role requires demonstrated proficiency with business technologies, careful attention to detail, and the highest level of discretion in handling confidential information.

Main Responsibilities
Provide comprehensive executive administrative support including heavy calendar management, travel arrangements, expense management, and meeting coordination
Independently manage special administrative projects in a dynamic, fast-paced environment
Prioritize and execute tasks with minimal direction while handling confidential information with discretion
Proactively manage domestic and global meeting logistics and travel arrangements, ensuring efficient processing of expenses per company policies
Manage diverse communications including meeting planning details, email correspondence, department announcements, slides and presentations, business documents, and internal communications platforms
Demonstrate digital proficiency by compiling information for presentations using MS Office and other corporate systems (correspondence, reports, analyses, presentations, scientific manuscripts)
Capture and prioritize non-routine needs in real-time while tracking due dates for timely task completion
Interface effectively with staff, senior executives, external partners, and consultants, responding to various information inquiries according to established guidelines and maintaining professional relationships
Ensure smooth and efficient day-to-day operations
About You
Qualifications
Required:
High School Diploma or GED with 5+ years of administrative experience
Proficiency in using computer technology including the Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams, SharePoint), AI tools, and other business applications
Demonstrate enthusiasm for learning and adopting new technologies, with ability to champion digital innovation and support team adoption of emerging tools
Professional demeanor with strong organizational and time management skills
High level of discretion in handling sensitive and confidential information
Adaptability to work in changing environments and build cross-organizational relationships
Excellent interpersonal, verbal, and written communication skills
Demonstrated problem-solving skills and diplomatic handling of complex situations
Experience with project coordination and management accountability
Preferred:
Bachelor's Degree or Secretarial Certificate
Experience supporting senior-level leaders in pharmaceutical or biotech environments, with demonstrated understanding of industry operations
Strong initiative and ability to navigate the organization with minimal direction
