Job Summary:
Procurement Sciences (PSci.AI) is seeking an experienced, detail-oriented, and highly proactive Executive Assistant to provide comprehensive support to our executive leadership team. The ideal candidate thrives in a high-growth SaaS environment and is adept at managing a broad range of priorities, confidential information, and fast-moving schedules. This critical role involves streamlining executive workflows, supporting key company initiatives, and representing leadership values both internally and externally. Preference will be given to candidates in the Washington, DC area or Salt Lake City, UT; however, highly qualified remote candidates will be considered.
Key Responsibilities:
Manage complex executive calendars and schedule meetings, ensuring optimal time use and prioritization.
Coordinate domestic and international travel, including transportation, accommodations, and detailed itineraries.
Prepare daily briefings, meeting materials, and executive-level communications.
Review and triage incoming emails, calls, requests, and correspondence on behalf of executives.
Process expense reports, support procurement activities, and manage confidential company records.
Organize and coordinate company events, offsites, and leadership meetings.
Support special projects, prepare status updates, and track completion of executive initiatives.
Communicate on behalf of the executive team with internal staff, board members, clients, and external stakeholders.
Exercise sound judgment and maintain a high level of confidentiality and professionalism at all times.
Ideal Candidate Qualifications:
Minimum of 3 years experience supporting senior executives in fast-paced environments; experience in SaaS, technology, consulting, or related fields is highly desirable.
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and shifting demands.
Excellent written and verbal communication skills, including preparing executive correspondence and presentations.
Advanced proficiency with Google Workspace and/or Microsoft Office Suite, calendar management, and virtual collaboration platforms (e.g., Slack, Zoom, Teams).
Proactive, solutions-oriented, and detail-driven; consistently exercises discretion and sound judgment.
Bachelor’s degree preferred, or equivalent experience.
