If so, we invite you to join our team at the Snake River Correctional Institution as an Office Specialist 2 supporting the Security Section. This recruitment will be used to fill Office Specialist position(s).

About the Job – Your Role

As an Office Specialist 2, you will provide confidential clerical and administrative support to Institution Security Management as well as the Institution Staff Deployment System (ISDS) Security Services, Special Housing Section, and the Assistant Superintendent of Security. You’ll play a key role in ensuring smooth operations, compliance with policies, and timely processing of critical reports and documentation.

This position requires flexibility – while you will primarily support Security Management, you may also take on shared or rotating duties with other OS2s in the division. Your ability to adapt, prioritize tasks, and handle confidential information will be essential to your success in this role.

Key Responsibilities

  • Provide confidential administrative support to Security Management and related sections.
  • Track and process reports, evaluations, grievances, and official communications.
  • Maintain records, rosters, timesheets, and correspondence in compliance with standards.
  • Manage purchase orders, supplies, and equipment maintenance.
  • Support staff with payroll, leave, travel, and scheduling.
  • Assist with meetings, minutes, and general administrative tasks, including back-up coverage and special events.

This position is represented by American Federation of State, County, and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.

Minimum Qualifications

Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents;

OR

An associate degree in any field; 

OR

An equivalent combination of education and experience.

Requested Skills

  • Proficiency in Microsoft Office Suite, with strong competency in Excel (data tracking, reporting) and PowerPoint (presentations, formatting).
  • Strong data and document management skills, including accurate tracking, processing, and filing of reports and records.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet multiple deadlines.
  • High level of discretion and professionalism in handling confidential staff and AIC information.
  • Strong written and verbal communication skills, including the ability to draft reports, prepare correspondence, and take detailed meeting minutes.
  • Flexibility and dependability, including the ability to occasionally adjust schedules (afterhours/weekends) to support special events.
  • Teamwork and adaptability, with experience providing back-up support to coworkers and adjusting responsibilities to meet operational needs.

Working Conditions

The institution is located in Eastern Oregon and is exposed to temperature extremes and inclement weather. SRCI is climate controlled. This institution has over 1 million square feet of building space and is spread out over a 103-acre perimeter, in addition to a minimum facility outside the perimeter. Waiting long distances to get to the workstation or perform work will be required. Most AIC housing units are on two levels requiring the use of stairs to reach the second level.

All employees are required to use a computer for E-Mail and related AIC work systems in the regular performance of their duties.

Must be able to work in a production environment which requires doing many repetitive projects.

The incumbent is responsible for proper tool and key control of their immediate work area and to maintain awareness and bring issues identified elsewhere in the institution to the attention of others. Periodic supervision of AIC workers, e.g., AIC orderlies, may be required.

Performance of the position involves sitting for long periods of time and may at times involve standing for long periods of time, such as, in the delivery of training or in community contract situations. Also necessary is the operation of computer video equipment for word processing, electronic mail and other specialized program access/usage, potentially for long periods of time.

Office Specialist 2s are hired to the classification and are subject to being moved to other Office Specialist 2 work assignments within the institution to meet the operational needs of the agency.

Requirements for Employment

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.
