Position Summary 

The newly formed Global Sales Operations & Effectiveness (SO&E) organization is leading the transformation of sales capabilities, positioning BD to become the strongest commercial organization in MedTech. The Executive Assistant will report to the SVP, Sales Operations & Effectiveness and serve as the administrative business partner to the SVP and several VPs within SO&E.  

 

The candidate is a strategic partner and force multiplier to senior leaders, providing high-level administrative and operational support, ensuring executive time is invested in the highest-value activities and organizational goals are advanced. This role requires exceptional organizational skills, proactive problem-solving, and the ability to manage complex tasks in a fast-paced environment. The Executive Assistant serves as a trusted liaison, safeguarding confidential information while driving efficiency and collaboration across teams. 

 

Key Responsibilities 

Calendar & Scheduling 

  • Partner with executives (SVP, VPs) and other associates within the SO&E organization (e.g., Director BD Excellence, Chief of Staff) to develop intentional calendars that prioritize time and energy in the right areas and enable successful time management for executives. 

  • Proactively manage calendars to ensure conflicts are resolved in advance, executive time is well managed, and executives are well prepared for meetings each day and week. 

  • Coordinate internal and external meetings, including agenda preparation and follow-up actions. 

  • Protect calendar for executives, ensuring that requests for time are well vetted and any meeting hygiene is kept to a high standard (e.g., an agenda has been built and shared with participants in advance, the role of each person attending is clear, etc.). 

 

Finance Coordination 

  • Process expense reports, manage purchase orders, vendor administration, and invoices. 

  • Partner with Finance to coordinate cross-charge processes and ensure compliance with company policies. 

  • Support efforts to effectively manage departmental budget and company resources. 

 

Meeting & Event Support 

  • Organize logistics for meetings and events, including travel arrangements, accommodations, AV setup, printing of materials, and catering. 

  • Ensure attendees of all meetings and events are well informed of the role they are expected to play and are well prepared to do so. 

  • Prepare briefing materials and ensure all details are delivered flawlessly. 

 

Administrative Operations 

  • Handle incoming and outgoing mail, maintain confidential documents, and ensure timely completion of administrative tasks. 

  • Maintain organizational charts and manage document workflows. 

  • Proactively scan executive email inboxes each morning to ensure top priority emails are flagged for timely response and action. 

 

Preparation & Innovation 

  • Create high-quality presentations, reports, and other materials to support leadership initiatives. 

  • Leverage AI tools (e.g., Copilot) and other digital platforms (e.g., Miro) to streamline workflows. 

  • Champion digital-first solutions and identify opportunities for process automation. 

 

Collaboration & Project Support 

  • Partner with other executive assistants to streamline operations and provide backup support as needed. 

  • Foster strong relationships across teams to enable smooth communication and coordination. 

  • Lead or support special projects and process improvement initiatives. 

  • Coordinate cross-functional priorities and track deliverables for strategic programs. 

 

Decision Making & Judgement 

  • Manage sensitive information with discretion and professionalism, maintaining the highest standards of confidentiality. 

  • Exercise sound judgment in prioritizing requests and managing competing demands. 

  • Serve as a gatekeeper, ensuring alignment with strategic priorities. 

 

Required Qualifications 

  • 10+ years of experience supporting senior leaders in a corporate or fast-paced environment. 

  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) 

  • Familiarity with standard corporate Travel and HR software (e.g., Concur and Workday) and collaboration tools (e.g., Microsoft Teams) required. 

 

Desired Skills & Experience 

  • Proven ability to manage multiple priorities under tight deadlines with minimal direction. 

  • Strong communication and interpersonal skills, with experience interacting with senior management and external stakeholders. 

  • Highly organized, detail-oriented, and customer-focused with a proactive attitude. 

  • Demonstrated ability to leverage technology and tools to improve efficiency and workflows. 

  • Ability to manage ambiguity and thrive in a fast-paced, evolving environment. 

  • High level of professionalism and integrity. 

  • Demonstrated strategic agility, adaptability, and collaboration. 

  • Experience with executive-level time management tools and/or training (e.g., WILO/MILO). 

  • Experience working in a fast-paced industry (e.g., technology) is a plus. 

  • Experience in project coordination or event planning, including managing timelines and deliverables. 

  • Ability to analyze data and generate insights for reporting and decision-making. 

  • Exposure to budget management and financial forecasting processes. 

  • Strong stakeholder management skills, with the ability to influence and build relationships across all levels. 

  • Experience supporting global teams and navigating cultural nuances. 

  • Certification in administrative or project management disciplines (e.g., CAP, PMP) is a plus.
