High-caliber Executive Assistant

Why this role

Client is relaunching a new commercial venture on top of proven IP. As traction accelerates, we’re hiring a high-caliber Executive Assistant to handle the day-to-day admin that keeps leadership focused on building the business. This is classic EA work done at a very high standard: fast, precise, proactive, trustworthy.


What you’ll own

Calendar & Scheduling

● Run a complex, fast-changing executive calendar; sequence priorities; protect focus time.

● Coordinate internal/external meetings across time zones; prepare agendas, holds, buffers, and follow-ups.


Inbox Management

● Triage high-volume email; filter noise; flag decisions; draft/route replies; maintain zero-based inbox logic.

● Summarize daily priorities and deadlines; turn emails into tasks with clear owners and due dates.


Travel & Logistics

● Plan end-to-end travel (flights/hotels/ground) against budget and preference profiles; build concise itineraries; manage changes.


Executive Comms & Admin

● Draft, proof, and send polished correspondence (when appropriate, on behalf of the executive).

● Collect and package information for quick decisions (one-pagers, call sheets, meeting briefs).

● Light document formatting and file organization; keep shared resources tidy and searchable.


Partner Support (Shared EA)

● Provide coordinated support to the Co-Founder (pre-aligned priorities, shared comms norms, separate inbox/calendar policies).



What success looks like (first 60–90 days)
  • Calendar is accurate, anticipatory, and reflects true priorities.
  • Inbox is consistently triaged with clear next actions; response SLAs met.
  • Travel is smooth, cost-aware, and documented.
  • Executives start the day with a crisp brief and end the day with closed loops.
  • You operate with minimal supervision and excellent judgment.


Must-have qualifications
  • 3+ years as an Executive Assistant to a founder/CEO or senior leader in a fast-paced environment.
  • Exceptional English communication—clear, concise writing and professional tone; confident drafting emails on behalf of executives.
  • Demonstrated mastery of calendar + inbox control for high-volume, high-stakes workflows.
  • Strong prioritization and follow-through; proactive escalation and “own the outcome” mindset.
  • High discretion and integrity handling confidential information.
  • Fluency with modern tools (Google Workspace/Microsoft 365, calendaring, conferencing, task notes).
  • Comfortable working on-camera and in synchronous collaboration during ET business hours


Nice to have
  • Startup experience; comfort with ambiguity and rapid change.
  • Building simple executive briefs, templates, and lightweight SOPs.
  • Light project coordination (turning discussions into action items and timelines).

$800 - $1,100 a month
Full-time, Monday–Friday, ~9am–5pm Eastern Time, with flexibility for occasional
priority needs.
Remote; reliable internet and quiet workspace required.
This role primarily supports back-office operations (no routine client-facing calls).
