About the Position:

The Executive Assistant provides high-level administrative support in a one-on-one working relationship and plays a key role in the Office of the CEO. This position supports internal operations and ensures the efficient handling of all matters related to the Office of the Chief Executive Officer.

Working closely with the Chief of Staff (COS), the Executive Assistant helps manage and maintain the CEO’s calendar, processes receipts and purchase orders, and provides assistance on special projects. The role requires a proactive and resourceful individual who thrives in a mission-driven, results-oriented, and community-focused environment.

The ideal candidate exercises sound judgment across a range of situations, demonstrates strong written and verbal communication skills, and excels in administrative and organizational tasks. They must be capable of independently managing projects from concept to completion, and adept at handling multiple priorities and sensitive information with professionalism and discretion, even under pressure.


What You Will Do:
  • Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports and tracking receipts for purchases; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Collaborates with the Chief of Staff to facilitate effective communication on behalf of the Office of the CEO, ensuring alignment between internal departments and executive leadership while maintaining credibility, trust, and strong working relationships across the senior management team.
  • Works closely and effectively with the Chief of Staff and CEO to keep them well informed of upcoming commitments and responsibilities, following up as needed. Acts as a "barometer," maintaining awareness of any issues and keeping them informed.
  • Establishes daily opening and closing routines, ensuring the CEO is prepared for the day ahead and aligned on next-day priorities.
  • Successfully collaborates with the Chief of Staff and other members of the Office of the CEO to complete critical deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the organization.
  • Supports or leads special projects on behalf of the CEO or Chief of Staff, ensuring deadlines are met and priorities are aligned with organizational goals.
  • Prioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Handles sensitive and confidential information with the utmost discretion and sound judgment, ensuring data security and executive privacy.
  • Performs other related duties as assigned.

  • Outstanding interpersonal skills, with the ability to build and maintain relationships with stakeholders, including faculty, board members, external partners, and donors.
  • Proven ability to handle confidential information with discretion, adapt to competing demands and demonstrate the highest level of service and response.
  • Knowledge of non-profit organizations.
  • Proficient in Microsoft Office Suite or similar software.
  • Education and Experience:

  • Holds a bachelor’s degree in a related field or equivalent experience in an organization providing similar services, with three or more years of relevant work. Brings five to ten years of experience supporting C-Level Executives, or a proven ability to perform successfully at this level.
