The Business Services Support Manager leads and manages the administrative support team ensuring the efficient execution of departmental operations. Overseeing key operational areas including UT Records Management, physical inventory, compliance initiatives, and special programs. Leads efforts to streamline and align administrative processes with operational goals by working closely with internal and external partners.
Provide leadership and operational oversight to the administrative support team. Oversee daily operations, training, and professional development of the team. Manage employee evaluations and timekeeping. Lead the development and implementation of area goals and objectives contributing to overall operational success. Provide backup support to the team as needed. Provide administrative support to UHD leadership as needed.
Oversee the operations for UT Records Management, Physical Inventory, TABC Reporting, Bevo Pay, Vending, Compliance Management, Funding Requests for Events and Programming, and Travel Requests ensuring smooth and efficient processes. Demonstrate expertise in UT policies and procedures and disseminate throughout the department. Uphold compliance and optimize efficiency. Lead the creation of training materials and staff training initiatives for various administrative processes.
Communicate effectively with team members, supervisors and customers both verbally and in writing. Consistently display urgency and responsiveness in identifying and addressing the needs of customers, vendors, team members, and management. Serve as liaison to UT Risk Management, Facilities Services, ITS, Fleet Management, and Fire Safety/Fire Prevention for varied requests. Collaborate with campus departments and outside groups to coordinate group dining services. Proactively addresses changes and adapts to a variety of assignments.
Ensure overall work reflects accuracy, neatness, thoroughness and compliance with standard operating procedures. Use collaborative solutions in problem-solving when appropriate. Remain current with new developments, technologies and processes in all areas of responsibility. Continuously evaluates internal processes for accuracy, efficiency and effectiveness. Assist in reviewing current UHD business processes and develop business requirements to ensure optimal efficiency, cost savings and customer focus. Develop standard operating procedures and training materials for UHD stakeholders.
Attend meetings. Maintain documented procedures on related processes. Drive a UT vehicle when necessary to complete listed tasks. Other duties as assigned.
Bachelor's degree.
At least 3 years management experience.
Relevant education and experience may be substituted as appropriate.
Bachelor's degree in Business Administration.
Experience writing policies and procedures.
Experience developing and presenting training materials.
Experience with inventory management.
Experience using Microsoft Office.
Experience working in a higher education environment.
Experience working for University Housing and Dining at UT Austin.
Experience using *DEFINE.
Experience providing administrative support to senior leadership and/or staff within a large department.
Excellent written, verbal, and interpersonal skills.
Ability to be collaborative and solution oriented.
This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
$65,000+ depending on qualifications
