The Administrative Associate is responsible for providing administrative support to the Career Services Office at the School of Law.
Responsible for the daily operations of the Career Services Office, including opening the office promptly at 8 a.m. and closing the office at 5 p.m. every Monday through Friday and acting as receptionist to greet visitors to the office. The position will act as a direct liaison with all program constituents (students, staff, employers and other customers via phone, email and in person).
Coordinate input, updates and edits of student job postings and employer registrations in 12Twenty, our online database. Schedule student and group appointments, as well as manage the group calendar.
Coordinate payments to vendors, including submitting purchase orders and paying invoices; manage CSO e-commerce site, deposit check payments, coordinate submission and approval process for contracts, coordinate staff and student travel, organize and maintain records.
Act as office manager, including ordering supplies and maintaining orderly common spaces. Serve as lead administrator on assigned programs/projects and serve as backup for other administrative functions.
Create and edit documents, spreadsheets and reports, including page layout and design. Provide administrative support, including copying, scanning, and faxing documents when needed.
Other related responsibilities and functions as assigned.
Bachelor's Degree with at least one year of clerical experience or High School Diploma with at least five years of clerical experience. Ability to work with minimal supervision and exercise independent judgment. Excellent organizational skills and oral and written communication skills. Ability to prioritize responsibilities, manage multiple concurrent projects. Professional demeanor.
Relevant education and experience may be substituted as appropriate.

$45,000 + depending on qualifications
May work around standard office conditions. Repetitive use of a keyboard at a workstation, use of manual dexterity. Lift and move standard office files and supplies. Wear appropriate office attire; accept supervision. Work hours may include occasional evenings, weekends and some holidays during peak periods to meet deadlines. On-site work is the normal expectation for this position.
