Scheduling Support Specialist- OSA

Otterbein Staffing Agency, guided by a faith-inspired mission, provides staffing support across multiple markets and locations. We are seeking a detail-oriented Scheduling Support Specialist to manage the scheduling platform, fill open shifts (including last-minute needs), support onboarding, and provide day-to-day administrative and customer-focused assistance to ensure excellent service.

Skills

  • Strong customer service and phone support skills
  • Proficient use of scheduling platforms (Schedule Pop experience preferred)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Accurate data entry and basic HRIS familiarity
  • Ability to multitask, prioritize, and manage time under pressure
  • Clear verbal and written communication
  • Problem-solving and escalation judgment

Responsibilities

  • Act as expert user of the scheduling platform (currently Schedule Pop) to fill open shifts across all markets and locations
  • Respond to call-offs and no-shows, promptly filling last-minute vacancies and tracking call-off patterns
  • Serve as first point of contact for OSA employee scheduling questions and provide excellent customer service
  • Assist with interviewing, hiring, onboarding, and initial scheduling of new staffing agency employees
  • Provide training on the scheduling platform and company standards for new hires
  • Maintain accurate data entry in HRIS and scheduling systems and prepare standard/ad hoc reports
  • Coordinate short-term contract scheduling and bookings
  • Share on-call rotation during weekdays and every third weekend to address urgent scheduling needs
  • Perform general administrative duties including phone/email handling, mail, and filing
  • Escalate and resolve scheduling issues; keep Director informed of patterns requiring disciplinary review

Education

  • High school diploma or equivalent required
  • Associate or Bachelor’s degree preferred (administration, HR, or related fields)
  • Relevant certifications or coursework in scheduling/HR a plus
