Job Summary:
The Travel Operations Coordinator plays an administrative role in coordinating various operational aspects to ensure contract tasks are met. This role requires a detail-oriented individual with strong organizational and communication skills. The Travel Operations Coordinator collaborates with different teams to ensure all tasks are completed and contributes to the overall effectiveness of the operational tasks that they are responsible for.
Essential Functions and Responsibilities:
Maintains a consistent level of communication with employees, management, vendors, and customers.
Communicates with field operations, command center, client, and vendors to ensure seamless information flow and elevate issues or concerns to Program Manager and Deputy Program Manager for resolution.
Coordinates air and ground charter transportation, to include aircraft routing with the approval of the Program Manager and Deputy Program Manager, verifying with subcontractors that custom permits are up-to-date, and they follow governmental and international regulations, providing customer and management notifications to ensure all services are confirmed for daily flights.
Monitors air and ground movements pertaining to domestic and international air charter travel; responsible for reviewing trip checklists, updating trip changes, keeping constant communication to provide updates to internal and external stakeholders of any changes.
Coordinate and schedule ground and commercial travel in adherence with company and customer’s policies and procedures.
Responsible for creating ground transportation routes and maximizing air travel to accommodate transportation requests.
Review and reconcile company business credit cards and vendor invoices, to include reviewing billing codes are recorded accurately.
Reviews vendor accounts and payments.
Identifies and investigates records that are incomplete or erroneous by reaching out to Site Supervisors or Site Managers for accurate and comprehensive details.
Collect and review data and maintain accurate contract records; review operational data to identify trends and areas for improvements.
Assists with travel arrangements for Ops team; responsible for preparing and submitting monthly deliverable reports and ad-hoc reports.
Conducts data quality reviews and corrects any discrepancies found to maintain accurate and precise reporting to ensure compliance with data structure policies.
Creates and submits reports on a weekly, monthly, and yearly basis as requested by customer.
Retrieves data from various company databases and creates reports that will assist the Program Manager and Deputy Program Manager with day-to-day Operations, to include status of work status, changes in assignment, and staffing utilization.
Perform other duties as assigned.
Minimum Qualifications & Skills:
Possess an associate degree in an appropriate discipline from an accredited university (a high school diploma with an extra two or more years of relevant experience may be substituted for an associate degree).
Have at least two years of documented experience in a field related to security, law, social work, detention, corrections, or similar occupational area; certification, licensure, and credentials applicable to the professional accreditation of the position (a minimum of four years of experience is required when a high school diploma with two or more years of relevant experience is substituted for an associate degree).
Demonstrate experience applicable to the goals and objectives of this program sufficient to communicate with other staff, and appropriate for a similar program environment.
Ability to interact effectively in multicultural settings.
Strong organizational skills, accuracy, and attention to detail.
Provide administrative support, including ability to exercise good judgment, discretion, tact, and diplomacy.
Ability to manage multiple projects simultaneously while prioritizing to meet strict timelines.
Strong proficiency in MS Office and Microsoft products.
Requires effective communication skills, both written and verbal, and customer service skills.
Requires initiative, flexibility, and skills necessary to effectively manage various levels of government and company tasks; requires understanding of government structure, operations, and contracting process to effectively receive and ensure proper handling of work orders.
Thrive in a fast-paced environment while working under tight deadlines.
Ability to work independently and be a team player.
Demonstrated ability to take initiative and recommend solutions to improving operational processes.
Must be able to work different shifts, weekends and holidays as needed.
Flexible with work schedule based on the needs of the operations; will have a cell phone to respond after hours and on weekends.
Ability to travel to corporate headquarters (less than 10%) if necessary.
Preferred Qualifications & Skills:
Bilingual in English and Spanish preferred.
Work Schedule:
This position is mission critical and essential to the ongoing operations and requires a flexible schedule to support a 24/7/365-day operation.

Favorable credit check for all cleared positions.
