Role Overview

The Executive Assistant will serve as the right hand to the CEO, ensuring he operates at maximum effectiveness in a fast-paced, high-growth environment. This role centers on safeguarding the CEO’s time and attention, streamlining communications, and creating order across a rapidly moving flow of priorities, decisions, and requests.

You will act as a trusted partner who enhances clarity, focus, and operational continuity. This involves managing information flow, maintaining tight control of schedules and logistics, and supporting seamless day-to-day operations in the Boca Raton office. While the primary focus is supporting the CEO, the role may also provide occasional support to other senior executives to maintain alignment and continuity.

Responsibilities

Optimize CEO Time & Prioritization

  • Triage and organize inbound communications (email, Slack, texts, calls) to ensure focus on the highest-priority items.

  • Manage all aspects of the CEO’s calendar; prepare meetings with agendas, context, and required materials.

  • Oversee the CEO’s inbox, flag priorities, draft correspondence, and ensure timely responses.

  • Reduce context switching by sequencing workflows and grouping related tasks or discussions.

  • Serve as a gatekeeper and thought partner, filtering requests and ensuring the right information reaches the CEO at the right moment.

  • Track commitments, action items, and follow-through to ensure nothing is overlooked.

Create Operational Structure & Reliability

  • Manage all travel logistics for the CEO (and occasionally other executives): flights, accommodations, itineraries, and event coordination.

  • Oversee expense reports, receipts, vendor coordination, and administrative workflows.

  • Support office operations in the Boca Raton location, including organization, supplies, mail handling, and general administrative needs.

  • Maintain a consistent in-office presence to provide continuity and address day-to-day requirements.

  • Handle sensitive matters with utmost discretion, sound judgment, and professionalism.

Strengthen Communication & Information Flow

  • Maintain strong command of productivity platforms including Google Suite, Microsoft Word, Slack, and Zoom.

  • Prepare, proofread, and format documents, ensuring all materials meet company quality standards.

  • Apply technology tools to streamline processes and improve workflow efficiency.

  • Support communication across multiple time zones and global team members.

  • Consolidate and translate complex information into clear, actionable summaries for the CEO.

Provide Steady, Trusted Support

  • Build a strong working relationship with the CEO to understand preferences, priorities, and working style.

  • Maintain a calm, professional presence in a fast-moving environment.

  • Uphold high standards of judgment, confidentiality, and executive representation.

  • Support alignment across the executive team by coordinating information, ensuring follow-through, and reinforcing organizational priorities.

Qualifications

  • 5+ years of experience supporting a senior executive in a high-growth, entrepreneurial, or fast-paced environment.

  • Exceptional attention to detail, accuracy, and follow-through.

  • Highly organized, with demonstrated ability to manage competing priorities.

  • Strong written and verbal communication skills with excellent command of English.

  • Proficiency with Google Suite, Microsoft Word (advanced formatting), Slack, and productivity tools.

  • Ability to balance strategic thinking with hands-on execution.

  • Intellectually curious and quick to learn complex concepts.

  • High emotional intelligence; able to adapt communication styles and build strong relationships across diverse stakeholders.

  • Steady, professional presence capable of maintaining composure and discretion.

  • On-site presence in Boca Raton, FL with flexibility for occasional early, evening, or weekend hours.
