Job Description

We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our team, including the VP of Demand Generation. This role is ideal for someone who thrives in a fast-paced, dynamic environment, excels at managing multiple priorities and has a keen interest in supporting a high-impact marketing leader. The Administrative Assistant will be a trusted partner, ensuring smooth day-to-day operations and enabling leaders to focus on strategic priorities.

Please note: This is a hybrid role that will be based in San Mateo, CA and requires an in-office presence three days per week (Tuesday - Thursday). 

Key Responsibilities

  • Administrative Support

    • Manage and optimize the multiple calendars, ensuring efficient time allocation across meetings, travel, and strategic priorities.

    • Handle scheduling, meeting logistics, agenda preparation, and follow-up actions.

    • Anticipate needs and proactively resolve scheduling conflicts.

  • Communication & Coordination

    • Serve as a liaison between the leadership, including our VP of Demand Generation and internal/external stakeholders.

    • Coordinate cross-functional alignment with marketing, sales, operations, and executive leadership teams.

    • Maintain confidentiality while handling sensitive information.

  • Travel & Event Management

    • Coordinate domestic and international travel arrangements.

    • Assist in planning team meetings, leadership workshops, and offsites (onsite and virtual).

    • Manage travel expenses, reconcile receipts, and submit expense reports in a timely manner.

Qualifications

  • 5+ years of experience as an Administrative Assistant

  • Strong organizational skills with the ability to manage multiple projects simultaneously.

  • Excellent written and verbal communication skills.

  • High level of discretion and professionalism in handling sensitive information.

  • Proficiency with Google Workspace (Gmail, Docs, Sheets, Slides, Calendar), Zoom, and project management tools (Asana, Trello, or equivalent).

  • Experience in marketing, sales, or tech industry a plus.

  • Proactive and resourceful—anticipates needs before they arise.

  • Strong attention to detail and commitment to high-quality work.

  • Adaptable and calm under pressure in a fast-paced environment.

  • Collaborative and able to work effectively with senior stakeholders.

Additional Information

Please note: This is a hybrid role that will be based in San Mateo, CA and requires an in-office presence three days per week (Tuesday - Thursday). 

This role is based in the San Francisco Bay Area and the expected base salary range for this position is as shown below. The actual base pay is dependent upon a variety of job-related factors such as professional background, training, work experience, business needs and market demand. Therefore, in some circumstances, the actual salary could fall outside of this expected range. This pay range is subject to change and may be modified in the future. This role is also eligible for a target bonus.

Compensation Package

$102,600-$147,545 USD Base Salary
