Join our team as a Group Sales Coordinator - Latin America and become one of the authors of our story. As part of the Auberge family, you will have the opportunity to unleash your passion to support the Latin American team and Auberge Resorts Collection hotels.
Position will primarily support the team supporting the resorts in Latin America – Hacienda Altagracia, Chileno Bay, Esperanza, Etéreo, and Susurros del Corazón.
Key Responsibilities
Assist with sales collateral requests including but not limited to: Invitations for sales events, resources for seasonal offers and experiences, trade show materials (pulling logos, resizing files for print, ordering name tags, etc.)
Maintain updated information for all group partners and their portals
Maintain updated information for CVENT
Provide daily administrative support to the group sales team, including managing calendars, processing contracts, and preparing client proposals and presentations.
Maintain accurate and up-to-date group account records in systems (Salesforce, Opera).
Assist in drafting and routing Group Sales Agreements, addendums, and internal communication forms.
Coordinate and support turnover process for team to all resorts.
Assist in setting up site visits and client entertainment arrangements.
Track leads, opportunities, and definite bookings; generate regular sales reports and dashboards for leadership review.
Respond to inquiries, provide information to internal stakeholders, and liaise with hotel departments to ensure group needs are understood and executed.
Support RFP responses and assist in assembling marketing collateral, sales kits, and promotional materials.
Support the on-boarding of new team members
Maintain professional appearance and demeanor and to conduct personal behavior in a mature and professional business manner while representing the company
Ability to use creativity and a strong business acumen to generate immediate results
Required Qualifications
Ability to thrive in a home office work environment
Excited by opportunity to work in an entrepreneurial environment and help to build the ARC brand and establish the success of new hotels
Previous experience in a marketing or administrative role, preferably within the hospitality industry
Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment
Strong interpersonal skills and the ability to build and maintain positive relationships with clients and team members
Excellent written and verbal communication skills, with a keen attention to detail
Knowledge of hotel operations, services, and market trends is a plus
A proactive and self-motivated attitude, with a willingness to take initiative and contribute to the overall success of the team
Strong knowledge of G-Suite
