People & Recruiting Coordinator
We’re looking for a highly organized, detail-oriented operations partner to support our People team, Recruiting team, and company leaders. This is a role for someone who loves creating smooth workflows, elevating experiences, and keeping fast-moving teams running efficiently. You’ll coordinate candidate processes, support onboarding and employee experience, and provide operational support to leadership. What You’ll Do
50–65% Recruiting Operations
Support recruiting team events, candidate coordination, and overall candidate experience
Career fair registration, travel, setup, and logistics
Candidate scheduling, travel coordination, communication, and support
Running “Superdays” and ensuring an elevated onsite candidate experience
Support top-of-funnel recruiting activities, as needed
Resume review, sourcing research, and first-round phone screens
Manage employer brand pages and external job board relationships
Become an internal expert on Ashby
Maintain dashboards, reports, and system hygiene
Assist with special projects to improve recruiting operations, tools, and processes
20–25% People Operations
Partner with People Ops to ensure smooth candidate to employee transitions
Support onboarding coordination and first-day readiness
Assist Workplace Manager with team events, onsite experiences, culture moments and occasional office coverage
Manage team swag, gifts, and special experiential touches
Manage People Ops vendor relationships
Help test and implement new tools that streamline operations
15–20% Executive Operations
Support company leaders with organization, logistics, and administrative tasks
Scheduling, calendar management, and meeting agenda prep
Conference room flow and light travel coordination
Maintain and organize Notion hubs and Google Drive structures
Support logistics for team offsites, planning days, and company All Hands
Assist in maintaining company-wide operating cadences and workflows
What We're Looking For:
1–2 years of experience in recruiting coordination, people operations, administrative support, or similar logistics-heavy role
Strong organization and follow-through across multiple priorities
Experience with calendar management
Clear, polished written and verbal communication skills
Reliable eye for detail and accuracy
Comfort coordinating schedules, events, or operational workflows
Ability to take ownership and move tasks forward independently
Familiarity with Google Suite and Slack
Bonus Points if You Have:
2–3 years of experience in Recruiting Ops, People Ops, HR, internal operations, or executive assistance
Experience supporting candidate logistics, interview days, or events
Comfort using an Applicant Tracking System (Ashby a plus)
Experience building or improving internal processes
Exposure to onboarding or employee experience work
Experience supporting leaders with scheduling or operational tasks
Ability to pick up new tools quickly and become a go-to resource
Familiarity with Notion or other documentation systems
Startup experience or comfort in dynamic, fast-paced environments
