As the Event Specialist, you will support the Event Manager team in performing flawless event preparation, assist in day-of execution, and post event follow-up. This role focuses on internal coordination, guest and speaker support, and logistical preparation, enabling the Event Manager to drive high-level event success.
While the Event Manager handles vendor relationships and the Run of Show, the Event Specialist ensures that day-to-day details and guest experiences are executed seamlessly.

Act as event-day guest support, register guests, operate the lobby reception desk, and provide guests with information, resources, and amenities as needed.
Assist with event preparation, including but not limited to; building and storing gift bags for workshop attendees, preparing signage, printing attendee badges, and printed materials.
Assist with setup, execution, and breakdown of all event aspects to ensure smooth operation.
Work cross-functionally with team members across all departments to understand the event objectives and ensure requirements are clearly defined.
Address any issues or emergencies that may arise during events with leaders to find quick and effective resolutions.
Contribute creative ideas for best practices to enhance departmental KPIs and overall company goals.
Assist with crowd control during live events by guiding guests during transitions, escorting speakers, and assist in communicating time cues.
Use Asana to assign and receive tasks, share updates, and maintain visibility on project progress.
Degree or 3-5 years of experience in Event Coordination, Operations, or Hospitality.
Strong organizational and multitasking skills.
Excellent communication and hospitality skills.
Proficiency in event/project management software and Google Suite including Slack, Google Sheets, Gmail, etc.
Ability to perform under pressure, remain flexible in a fast-paced environment, while upholding the quality of service and professionalism.
Creativity and problem-solving skills.
Ability to work on weekends and long hours when necessary.
Work closely with cross-functional teams, including marketing, sales, advisory practice, client success, executive assistants, and media, to ensure alignment with overall company goals.
Events are executed flawlessly, meeting or exceeding client and stakeholder expectations.
Attendees experience a smooth, well-organized, and enjoyable event.
Executives are satisfied with the coordination and execution of workshop events, leading to positive feedback.
Events are executed within budget, demonstrating financial responsibility and maximizing return on investment.
Stakeholders are well-informed throughout the event planning process, contributing to a collaborative and transparent working environment.
Any issues or emergencies that arise during events are addressed promptly and effectively with appropriate departments and minimizing disruptions.
Post-event evaluations provide valuable insights for continuous improvement in future events, contributing to a culture of learning and refinement.
