Customer Experience Coordinator (Part Time) - Redmond, WA

VEG is a rapidly growing, employee-focused emergency veterinary company delivering exceptional care to pets and their families. We are seeking an outgoing, organized Customer Experience Coordinator to shepherd pet parents through their visit, deliver empathetic service at every touchpoint, and help maintain our industry-leading NPS by improving workflow and customer satisfaction.

Responsibilities

  • Answer incoming calls, texts, and emails promptly and accurately; triage and transfer medically related calls to doctors quickly
  • Greet customers upon arrival, check them in, announce their presence to the team, and maintain a welcoming environment
  • Monitor customer wait times, identify bottlenecks, and act to improve workflow efficiency
  • Manage payments and maintain accurate customer personal and financial records
  • Take ownership of customer complaints, resolve issues empathetically, and escalate when necessary
  • Circulate the hospital to engage waiting customers, provide updates, and optimize ER utilization
  • Coordinate with nurses and doctors to communicate customer needs and facilitate video chats when needed
  • Follow up with customers 24 hours post-visit and invite survey feedback; share positive feedback and improvement patterns with the team
  • Create personalized experiences, celebrate special moments with permission, and find creative ways to say 'yes' to customer needs
  • Maintain confidentiality and sensitivity around personal and financial information, assisting customers with financial solutions

Education

  • High school diploma or equivalent (preferred, not required)
  • 2+ years of customer service experience required
  • Additional customer service, veterinary reception, or related certifications are a plus
