The Senior Administrative Program Coordinator for Deployment will lead the implementation and coordination of several CII volunteer groups that serve as a critical method for driving engagement with CII’s industry and academic volunteers and will also coordinate and/or support other initiatives within CII’s deployment program.
Coordinate the activities and engagement of assigned CII volunteer groups, including scheduling and attending meetings and events involving industry member volunteers, academics, and CII staff.
Coordinate the capture and management of data and meeting materials related to assigned volunteer groups. Maintain accurate and up-to-date records in CRM systems, including group rosters and meeting attendance details. Generate reports to summarize engagement data and provide these reports to CII leadership.
Cross-train to support other deployment programs. Provide backup support for coordinating meetings and events in other CII areas, as needed.
Collaborating with assigned CII volunteer groups and across CII staff, develop and implement recommendations to maintain and improve the health of assigned CII volunteer groups. Report the recommendations to CII leadership regularly and incorporate their feedback.
Organize and maintain communication resources related to the assigned volunteer groups, including templates, communication plans, and tracking tools. Support the maintenance of related documentation, including business processes, activity reports, and project deliverables.
Collaborate with CII leadership to ensure that the assigned volunteer groups adhere to guidelines and meet engagement expectations. Identify and share any engagement challenges with CII leadership.
Perform other related duties as assigned.
Bachelor’s degree in a related field (e.g., Business Administration, Construction Management, Engineering)
Five (5) years of experience in project or program coordination
Proficiency in Microsoft Office Suite, virtual meeting platforms, and customer relationship management (CRM) software
Attentive listener committed to promoting effective teamwork and collaboration
Strong verbal and written communication skills and genuinely outgoing with the ability to engage and build relationships with various stakeholders
Excellent organizational, project management, and time management skills
Exceptional interpersonal skills and a sharp attention to administrative detail, with the ability to effectively coordinate and manage multiple teams or groups simultaneously
Ability to analyze program data, prepare reports, and make data-driven recommendations
Ability to work independently and as part of a team
Relevant education and experience may be substituted as appropriate.
Advanced degree (master's or higher) in Engineering, Education, Human Resources, or Business Administration
Five (5) years of experience in volunteer or customer management
Experience in a role involving the construction industry
Certification or training in project management, adult education, or workforce development
$70,000+ depending on qualifications
Ability to work around standard office conditions
Repetitive use of a keyboard at a workstation

Travel as required
Forty (40) hours per week, Monday through Friday, generally 8:00 AM - 5:00 PM; however, this position provides for work-life balance with a typical 40-hour work week that includes flexible work arrangements. The CII hybrid schedule requires each employee to work on the UT Austin campus three days per week (currently Tu-We-Th).
