The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

GENERAL PURPOSE

With minimal direction and considerable latitude for independent judgment, facilitates fundraising finance, data management, and reporting activities as a key team member of the University Advancement team. Manages and executes administrative and program support to the Academic Center Advancement team which encompasses the School of Arts and Sciences, Hajim School of Engineering and Applied Sciences, Student Life, Athletics, Admissions, Academic Excellence, and the River Campus Libraries. This role plays a key part in advancing the mission of university units by fostering meaningful engagement with senior leadership, academic and administrative partners, alumni, students, parents, and external collaborators.

Must have impeccable judgment, be able to independently solve problems, embrace a team mentality, have excellent customer relations skills and be able to adjust to changing priorities and challenges in a busy environment.

ESSENTIAL FUNCTIONS

Departmental Strategy & Reporting

  • Serve as a strategic liaison between the Associate Vice President for University Advancement and all Academic Center units, fostering effective collaboration with University Advancement offices to align fundraising priorities and communication.
  • Oversee the ongoing development, accuracy, and dissemination of key fundraising materials—both print and digital, including naming opportunities, program overviews, and strategic promotional content in support of Academic Center initiatives.
  • Manage and contribute to monthly review of Academic Center fundraising pipeline and capital projects by developing and maintaining prospect lists, managing pipeline documentation, generating leadership-level snapshots, and collaborating with the Director of Advancement Finance on giving data integrity.
  • Manage and deliver comprehensive proposal tracking and reporting in direct support of the Associate Vice President’s advancement efforts.
  • Develop and synthesize data-driven reports aligned with strategic campaign goals and funding priorities for the upcoming Capital Campaign. This includes generating donor lists, campaign phase planning updates (quiet and public), and proposal status reports for Academic Center units.
  • Act as the primary resource for advancement-related data and reporting needs tied to Academic Center special initiatives and cross-campus projects.

Strategic Program Support – Academic Center (Student Life, Academic Excellence, Athletics, Admissions, and Enrollment)

  • Champion the work of the ASE Academic Center—including Student Life, Athletics, Admissions, and Enrollment—by leading fundraising and engagement initiatives that reflect and advance the University’s mission and values.
  • Lead the operational and logistical support for the Academic Center and Athletics advancement teams, applying a strong understanding of institutional processes, advancement best practices, and University systems, including database management, scheduling platforms, reimbursement protocols, donor stewardship, and campaign priorities.
  • Independently manage travel preparation for a minimum of three frontline gift officers, each traveling an average of twice monthly. Responsibilities include itinerary development, background research, contact report management, and real-time updates. Support may also extend to advancement-related travel for campus partners.
  • Oversee the preparation and submission of expense reports for gift officers, ensuring strict compliance with University of Rochester reimbursement policies. Remain current on financial procedures by attending relevant training and policy briefings.
  • Design and deliver tailored fundraising reports for gift officers, department chairs, deans, and other unit administrators. Provide ongoing, data-informed updates on fundraising performance to drive strategic planning and donor engagement.
  • Manage complex scheduling needs for gift officers, making strategic decisions on priorities, balancing competing demands, and coordinating high-level meetings involving multiple stakeholders.
  • Develop and analyze reports tied to critical metrics and strategic goals for the upcoming the Capital Campaign. Reporting includes donor segmentation, campaign phase planning (quiet and public), proposal tracking, and alignment with priority projects across Student Life, Admissions, and Athletics.
  • Serve as the primary contact for advancement data and reporting related to special initiatives and cross-functional projects, ensuring the delivery of timely, actionable insights.

Financial Management Responsibilities

  • Oversee the financial management of academic center advancement funds by collaborating with campus finance teams, Advancement gift officers, and key institutional partners to ensure accurate fund allocation, strategic spending, and compliance with donor intent.
  • Lead the establishment of new Academic Center fund allocations in coordination with Gift and Donor Records, Donor Relations, and University finance offices, ensuring all new funds are structured to support evolving institutional priorities.
  • Conduct regular audits of holding accounts in partnership with campus and Advancement finance colleagues to maintain financial integrity and ensure timely deployment of philanthropic support.
  • Manage allocation structures by initiating new fund setups, mapping allocation use, verifying alignment with fund purpose, and auditing gift activity to ensure donor expectations are met.
  • Support Academic Center fundraising campaigns and special initiatives (e.g., challenges, targeted efforts) by tracking unit-level fundraising performance, managing internal communications, and maintaining donor engagement records within Oasis and related systems.
  • Coordinate the creation and delivery of stewardship reports and donor communications, ensuring that fund usage and impact are clearly articulated to maintain transparency and strengthen donor relationships.
  • Monitor and report on key fundraising indicators including LYBUNTs, SYBUNTs, pledge fulfillment, and holding account balances to ensure proactive follow-up and strategic action by fundraising teams.
  • Lead updates to allocation records and financial reporting structures in alignment with organizational changes, including the transition related to the dissolution of the College.

Business Reporting & Gift Processing

  • Manage the accurate processing and documentation of all philanthropic contributions to the Academic Center, including in-kind gifts, ensuring alignment with University standards and donor intent.
  • Oversee daily gift monitoring to verify the completeness, accuracy, and proper allocation of entries within advancement systems, collaborating with relevant offices to resolve discrepancies as needed.
  • Maintain up-to-date proficiency in University database systems (e.g., OASIS/Salesforce) by completing required training and certifications to ensure continued access and compliance with institutional protocols.
  • Conduct regular audits and generate detailed financial reports on fund allocations across Academic Center departments and programs. Present findings and actionable insights to Deans, department chairs, and program directors to ensure strategic, donor-compliant use of philanthropic resources.
  • Serve as a subject matter expert on asset allocation and donor fund usage, empowering academic and administrative leaders with clear guidance on fund availability and spending parameters through quarterly reporting.

MINIMUM EDUCATION & EXPERIENCE

  • Bachelor’s degree Required
  • Two years of direct development experience or equivalent combination of education and experience Required

KNOWLEDGE, SKILLS AND ABILITIES

  • Experience in higher education development field preferred
  • Experience with project management from planning through implementation preferred
  • Proven ability to provide strategic administrative support to multiple individuals, including coordinating travel, allocating and overseeing complex budgets and departmental finances required
  • Extensive computer literacy, including expert knowledge of Microsoft office tools, particularly Excel, Teams, PowerPoint, and Outlook required
  • Ability to distill technical information into succinct and digestible information for a broad, non-technical audience required
  • Excellent leadership, verbal and written communication, presentation, analytical, and problem-solving skills required
