The IP&S Administrative Associate is a proactive office leader responsible for essential organizational functions supporting department leadership and department. They work to facilitate the smooth operation of day-to-day activities of the department through multiple duties, including reception, scheduling, planning, maintaining filing systems, and other various administrative requests.
• Directly support the IP&S COO and Director of Platform Strategy and Client Reporting Services by greeting callers, managing their schedules, coordinating meetings or other events, handling travel arrangements, and tracking and maintaining expense reports, associate requests, and related approvals.• Assist senior department members with making travel arrangements, organizing expense reports, scheduling conference rooms, ordering meals (when needed), and other similar tasks.• Track and maintain department activity, submitting tasks and managing approvals where needed.• Compile, assemble, bind, and distribute marketing and other materials.• Manage new hire setup and maintain information on department associates.• Develop a confident understanding of the department's policies and objectives.• Maintain vendor contacts, important documents, and other files electronically.• Facilitate updates to the internal website as needed.• Operate office equipment such as scanners, copiers, and phone systems, and use computers for assigned work with spreadsheets, word processing, database management, and any other needed applications.• Organize department events.
• Excellent verbal and written communication skills with focused attention to detail.• A customer service-oriented attitude with a solid ability to maintain interpersonal relationships.• Sound judgment and discretion with sensitive information.• Ability to independently interpret situations and act per department policies and objectives.• Solid ability to organize, prioritize, and manage multiple tasks, responsibilities, and deadlines.• Basic administrative and clerical office procedures, systems, and terminology knowledge.
• Minimum Required: High School Diploma.• Minimum Required: 1-3 years of administrative experience.• Preferred: Previous experience and basic understanding of the financial industry.
• Knowledge of Microsoft Excel, Word, PowerPoint, and Outlook.
