Job Title: Executive Assistant
Location: 100% Remote (US Only)
Compensation: $70,000-$85,000 + Full Benefits Package
Reports to: VP
We are seeking a highly skilled and dependable Executive Assistant to support our Vice President and Director of Telemedica (TMDA). The ideal candidate will be proactive, exceptionally organized, and skilled in managing complex administrative and operational needs. This role requires a trusted professional who can anticipate needs, manage priorities, and ensure the VP’s time and focus are optimized. Experience in healthcare, project management, and process improvement is a plus.
What you will do:
• Completes a broad variety of administrative tasks including but not limited to managing multiple calendars for appointments; composing and preparing correspondence; arranging complex and detailed travel plans, expense reports, itineraries, and meeting agendas.
• Handles sensitive information with the utmost confidentiality and professionalism. Ensure all communications and documents are managed securely.
• Acts as a point of contact between the executive and internal/external stakeholders. Manage emails and other communications, ensuring timely responses and appropriate prioritization. Serves as the primary gatekeeper for the executive, ensuring proactive communication flow and maintenance of chain of command.
• Provides administrative support to other executive level positions as needed.
• Responsible for preparing detailed agendas, taking notes and/or minutes to meetings as requested and providing accurately typed documents reflecting the minutes of those meetings, as well as scheduling follow ups and ensuring actions are shared out appropriately.
• Proactively manage a dynamic calendar, schedule meetings, and coordinate priorities; oversee inbox, draft and respond to correspondence, and ensure timely follow-up.
• Assists in monitoring key executive projects to keep track of timelines and deliverables. Helps executives to prioritize tasks and manage workload efficiently. Maintains a detailed and organized to-do list to ensure nothing falls through the cracks.
• Collects, analyzes, and presents data to support decision-making. Prepares regular reports and summaries for the executive. Drafts, proofreads, and edits documents, dashboards, spreadsheets, presentations, and correspondences.
• Assists in documenting and reviewing business processes and writing standard operating procedures (SOPs). Ensure all processes are clearly documented and accessible for reference.
• Maintains working knowledge and understanding of all business units by staying informed about their operations, goals, and challenges to provide comprehensive support to the executive and ensure alignment across departments.
• Maintains budgets for offsites and company-wide events. Handles requests and queries. Researches projects as needed.
• Regular interaction with company team members, to include internal and external stakeholders daily.
• Supports planning and execution of companywide or department level events.
• Other duties as assigned.
What you will bring:
• Proficient in Microsoft Office (Outlook, Word, Excel, Project and Power Point; as well as Planner, Loop, and Teams), Adobe Acrobat plus.
• Proven experience as an Executive Assistant, Operations Manager, or similar role supporting senior leaders.

• Exceptional organizational and time management skills with a keen attention to detail.
• Strong written and verbal communication skills.
• Experience in calendar and inbox management, correspondence, and follow-up.
• Project management and process improvement experience. Ability to manage people and processes through project launch and full execution.
• Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams, Loop).
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Experience working in a remote environment; ability to remain highly responsive and connected.
• Healthcare industry experience (preferred but not required).
• Ability to travel on Executive offsites when required.
Required Qualifications:
• 5 years of experience as an executive administrative assistant, operations manager, and/or project management or equivalent
Preferred Qualifications:
• Bachelor’s degree in business, liberal arts, or related field from an accredited University
