As our Administrative Operations Coordinator, you’ll be the behind-the-scenes problem solver who keeps everything running smoothly. You’ll manage customer support and internal requests, maintain and refine internal systems, troubleshoot technical issues across platforms, and collaborate with multiple departments to ensure nothing falls through the cracks.

This is a role for someone who thrives on structure but can pivot quickly when priorities shift. You’ll work across marketing, sales, program delivery, and retention—running workflows, resolving issues before they escalate, and documenting solutions so the team can operate at its highest level.
 

You’ll Work Directly On

  • Responsive, High-Accuracy Support – Respond in real time with speed and accuracy, maintaining exceptional attention to detail while being reliable, knowledgeable, and accountable.
  • Customer Support & Internal Requests – Manage customer and internal inboxes, responding with clarity, warmth, and professionalism.
  • Process Execution – Run and maintain core operational workflows to ensure smooth, consistent performance across departments. Assist in building out SOPs and related systems by creating automations, forms, integrations, email templates, and other assets that keep workflows efficient and connected.
  • Troubleshooting & QA – Diagnose and resolve automation glitches, broken links, and integration failures, running tests and quality checks to keep systems operating smoothly.
  • System Refinement – Spot inefficiencies, recommend smarter solutions, and implement improvements that save time and reduce errors.
  • Tool & Tech Management – Operate and maintain our ever-evolving tech stack to ensure tools are seamlessly integrated, properly automated, and functioning at peak performance—resolving issues quickly to prevent downtime.
  • Documentation & Training – Keep clear, accessible records of workflows, fixes, and system logic. Build and test SOPs, then iterate to ensure accuracy and functionality.
  • Live Event Tech Support – Serve as the technical point person during live group coaching calls on Zoom with up to 100 participants, facilitating breakout rooms, managing Q&A and chat, and ensuring a smooth, optimal experience for all attendees.
  • Onboarding & Offboarding – Coordinate seamless setup and exit processes for employees.
  • Cross-Department Collaboration – Work closely with marketing, sales, program delivery, and retention to ensure solutions connect seamlessly across teams.
  • High-Pressure Support – Jump in on last-minute fixes and urgent requests with creativity, composure, and reliability.

Requirements (Non-Negotiable)

  • Proven experience with: Google Suite, GoHighLevel, Monday.com, Zoom, Avoma, HubSpot, Trainual, Dropbox, Loom, BambooHR, Workable, Checkr—or comparable systems.
  • Technical proficiency with the ability to quickly master new CRM and process management platforms.
  • Strong analytical skills to diagnose and resolve issues efficiently.
  • Exceptional written and verbal communication skills.
  • Extreme attention to detail and commitment to quality.
  • Creative and innovative problem-solving skills.
  • Highly organized with effective prioritization and time management.
  • Self-directed, proactive, and comfortable navigating ambiguity.
  • Able to work independently and within a collaborative team.
  • Based in the U.S., Eastern Time Zone, and authorized to work without sponsorship.
