Persona AI is seeking a highly organized and proactive Administrative Assistant who can balance core administrative responsibilities with supporting light marketing activities. This dual-function role is perfect for someone who thrives in a fast-paced startup environment, enjoys keeping operations running smoothly, and is excited to contribute to a cutting-edge robotics company’s marketing presence. Reception & Guest Experience
Greet and check in guests to our Houston office
Direct visitors and ensure a welcoming experience
Office Management
Maintain office kitchen: order snacks, restock supplies, organize fridge, and ensure equipment is functional
Monitor and restock office supplies
Submit and follow up on office maintenance requests
Meeting & Event Support
Assist with AV setup for meetings and presentations
Book and coordinate conference rooms
Organize team lunches: order, pick-up, setup/tear down
Travel & Accommodation
Book candidate travel itineraries
Manage the Persona AI corporate apartment: coordinate cleanings, stock essentials, assist visiting employees with access, and conduct regular checks
Mail & General Support
Check and distribute incoming mail
Social Media Coordination
Assist in scheduling and posting pre-written content across LinkedIn, Instagram, and Twitter/X
Track engagement metrics and flag trending comments or potential opportunities
Content Support
Help prepare marketing materials for internal and external events
Organize photo/video assets for easy access by the marketing team
Event Marketing Assistance
Support setup for marketing activations at ION and other local events
Capture light behind-the-scenes content for social media
Research & Outreach
Research competitor campaigns or local startup community news
Compile lists of events, contacts, and marketing opportunities in Houston’s innovation ecosystem
Administrative Excellence: Prior experience in an administrative, receptionist, or office coordinator role preferred
Marketing Savvy: Exposure to marketing, social media management, or communications strongly desired
Tech-Friendly: Comfortable learning new tools and assisting with AV/tech setup
Communication Skills: Strong written and verbal skills; professional and personable in guest-facing settings
Organization & Multitasking: Ability to manage multiple streams of work with attention to detail
Proactive Mindset: Takes initiative to anticipate needs and solve problems before they arise
Location and Physical Requirements: Needs to be able to work in the Houston Office of Persona AI, Lift 45lbs, and be willing to travel for Tradeshows and conferences, Domestic and international.
