Department Overview

This School of Nursing position will provide administrative coordination for a Health and Resources and Services Administration (HRSA) funded project, Improving Mental Health Provider Access Collaboration and Training. The person in this position will coordinate all grant operations, maintain relationships and coordination with all key stakeholders. The person will maintain project records in appropriate databases and files and support preparation of reports. The person will assist in data dissemination and keep project SharePoint and training resources up to date. The person must have solid communication skills, be able to exercise diplomacy and sensitivity to community partner concerns and requests, be self- motivated, comfortable working independently, and able to able to problem solve in collaboration with a team.

Function/Duties of Position

  • Coordinates grant operations. Participates in and reports on project activity. Tracks purchases. Maintains project records and files. Coordinates with post award grant specialist. Schedules and manages logistics for meetings and grant related events. Supports preparation of reports, grant writing, editing, and budget preparation.

  • Maintains relationship, communicates and coordinates with all key stakeholders in the school, university and community. Produces written reports for internal and external stakeholders. 

  • Designs dashboards and documents as needed. Maintains student, preceptor and faculty training resources. In collaboration with Program Directors keeps preceptor manual up to date. Maintains list of all preceptors and collects needed data for grant reporting from students, faculty and preceptors and respective clinical sites. Collects needed data from Exxat for data reporting. Works with key staff at OHSU SON to ensure all needed data for reporting to HRSA are accurate and up to date. Maintains data base of all data needed for reporting and managing grant activities.

Required Qualifications

  • Four years of general office or secretarial experience; OR

  • Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR

  • A Bachelor's degree and two years of general office or secretarial experience; OR

  • An equivalent combination of training and experience. 

  • Experience working with and maintaining databases; administrative experience; experience in managing grants; Experience working in academic setting

  • Skill in Microsoft Office, data and database management software;

  • Excellent written and oral communication skills and demonstrated ability to work with a team.

  • Ability to exercise sound judgment in making decisions or dealing with unusual situations.

  • Valid driver’s license

Preferred Qualifications

  • Master degree
  • Knowledge of advanced practice nursing, nursing education, health services, and/or health policy.

Additional Details

Somewhat flexible work hours, some in-state travel possible; driving in-state and locally possible
