Production Coordinator

We are currently seeking a Production Coordinator that supports the planning, logistics, and execution of experiential marketing programs including brand activations, pop-ups, tours, installations, and integrated campaigns. This role is essential to ensuring projects are delivered on time, on budget, and at the highest level of craft. You’ll work closely with producers, creative, account, fabrication partners, and vendors to bring concepts to life.

Roles & Responsibilities:

• Assist Producers with day-to-day project management, scheduling,timelines, status documents, and production trackers.
• Source, vet, and manage vendors such as fabrication shops, brand ambassador agencies, food and beverage companies, rental and fabrication shops, and logistics partners.
• Coordinate vendor contracts and onboarding. 
• Track all production expenses and support budget reconciliation.
• Support venue research, permitting needs, and city or property approvals.
• Coordinate shipping, freight, storage, and tracking.
• Assist in compiling run-of-show documents, staffing plans, safety plans, and production schedules.
• Attend pre-production meetings, walkthroughs
• Support load-in/load-out, install, event operation, and strike.
• Serve as a point of contact for vendors and clients as needed during show days.
• Ensure all work meets agency quality standards and client brand guidelines.

• 1–3 years of experience in production, experiential marketing, events, live shows, or related fields.
• Strong organizational skills with high attention to detail.
• Ability to juggle multiple projects in fast-paced, deadline-driven environments.
• Excellent communication and problem-solving skills.
• Comfort working on-site at events, including occasional nights/weekends.
• Proficiency in Google Workspace and/or MS Office; familiarity with project management tools a plus

The salary range for this role is $ 65,000.00 to $ 80,000.00. Where a candidate falls within this band will depend on a combination of factors, including relevant experience, demonstrated performance, specific skills, geographical location, and internal equity. We regularly benchmark roles to market data and ensure pay is aligned with the role’s scope and impact.
