Free People is seeking a Design Coordinator who will support the Design team in managing the development and tracking of seasonal print and graphics projects. This is not a design role, but rather a production and operations support position that works behind the scenes to manage the many moving parts of seasonal print development. The Coordinator will handle all administrative functions that support the design and development of original artworks for Free People product which includes strike-offs, update tech packs, maintain calendars, and ensure clear, timely communication across cross-functional partners. The ideal candidate is highly detail-oriented, excels in Excel, and thrives in a fast-paced, creative environment.
Project & Calendar Management
Use Excel to manage and track due dates, organize strike-off statuses, and filter key print information specific to team needs.
Maintain and update the print and graphics team calendar, including meeting scheduling and seasonal development milestones.
Ensure due dates and project timelines are maintained at least three months in advance.
Submit weekly task lists to the team project manager and update product allocations and chase items as needed.
Track meeting notes and compare against internal records (tech packs, calendars, etc.) to flag inconsistencies or needed updates.
Support the seasonal development calendar in partnership with cross-functional teams.
Cross-Functional Communication
Work closely with the Design Director, designers, and the buying team to support print development processes.
Foster strong communication between the print, graphics, color, and craft teams.
Collaborate on a rotating basis with the development team to manage incoming submits.
Administrative & Operational Support
Submit and track invoices through Accounts Payable.
Monitor and report on the print and craft budget.
Order supplies such as ink, paper, and general materials for the team.
Maintain and update OneNote with vendors, processes, and key references.
Assist with updates to the internal print trend website.
Take on special projects or admin tasks as assigned by team leadership.
Strike-Off & Sample Management
Receive and organize incoming strike-offs via email and in person.
Create strike-off comparison sheets to support designer feedback and evaluation.
Coordinate approvals and update Tech Packs with comments and final decisions.
Enter key print information into the Bill of Materials (BOM).
Manage physical samples including Pantone pitching and scanning.
Maintain the NYC fabric roll inventory spreadsheet.

5+ years of experience in an administrative or coordination role or related experience strongly preferred.
Proactive with a bias for action.
Strong organizational and time-management skills with a keen eye for detail.
Excellent communication and interpersonal skills.
Advanced proficiency in Microsoft Excel is essential.
Proficient in Microsoft Office Suite (especially Excel and OneNote); experience with PLM systems and Adobe Creative Suite is a plus.
Ability to multitask and prioritize in a fast-paced, collaborative environment.
