Description

As a member of the FlexCold team, the Admin Manager is responsible for the administrative leadership within the facility. Directs and supervises site administrative team. Plans, organizes, controls, and develops functions within the company to provide the resources necessary for continued and future needs. Directs general office activities and workflow for facility. Responsibilities include but are not limited to assisting with: employee timecards, training and instructing employees in job duties, managing team members to ensure customer satisfaction, resolve customer complaints and answer customers questions, assisting operations for smooth site flow, timely billing of customers, and perform other duties as needed.


DUTIES/RESPONSIBILITIES:

  • Assist General Manager with development or updating of policies, procedures, and job standards.
  • Maintain records pertaining to inbound/outbound shipments, human resources, and supplies.
  • Assist with resolving customer complaints and answering customers questions pertaining to policies and procedures.
  • Work with Supervisor(s) to ensure information flow with the warehouse is efficient, to include on-time turn for trucks, and accurate receipt and shipment of goods.
  • Research, compile, and prepare reports, manuals, correspondence, and other information required by management or government agencies.
  • Determine staffing levels and assign workload to maintain adequate staff for effective performance and response to fluctuating workloads.
  • Interpret and communicate work procedures and company policy to staff.
  • Coordinate staff meeting to discuss general information or specific topics, also provide cross communication between shifts when applicable. 
  • Train and instruct employees on job duties and company policies or assign employee to provide training.
  • Help set and meet office operational and budget goals.
  • Make recommendations for modifications to procedures or processes impacting office operations that will maximize efficiency, productivity, and reduce cost.
  • Evaluate employee performance and with General Manager prepare performance appraisals.
  • Ability to perform the same work duties as those supervised.
  • Other duties as requested.     


Requirements

  • HS diploma.
  • 5+ years office experience in warehousing or logistics.
  • 2+ years general supervisory/management experience.
  • Attention to detail in fast-paced, deadline-oriented environment.
  • Ability to supervise and lead employees.
  • Strong conflict management skills with ability to communicate effectively with variety of individuals.
  • Excellent written and oral communication skills.
  • Basic understanding of business financial reports and information.
  • Ability to interpret HR regulations, safety regulations, operational/procedure manuals.
  • Excellent organizational skills, including the ability to multi-task and prioritize workload.
  • Strong customer service orientation with urgency in meeting objectives and deadlines.
  • Knowledge of import/export process preferred.
  • Proficient computer skills, including Microsoft Office, WMS, Word and Excel
  • Ability to work a flexible schedule and shift, including weekends if needed.
  • May need to visit warehouse operations in temperatures ranging from 40 to -10 proper PPE provided.
