Carnegie Mellon University’s Robotics Institute is searching for a Senior Academic Coordinator to join their team. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment.
We are seeking a Senior Academic Coordinator that will provide senior level support to academic programs in a department, school, or college. Maintains program materials, reports, associated databases, and external communications. Gathers and prepares material for program and faculty review/action. If supporting a graduate program, acts as a first line resource for prospective student inquires and the application process. May provide direction and training to lower level staff and/or student workers.
Responsibilities:
Advise undergraduate students. Assist students with registration, curriculum requirements, academic policies, and available resources; help them navigate university systems and processes.
Answers student questions regarding registration, curriculum and related issues and/or directs students to appropriate contacts or resources. Maintains program records, reports, student records and associated databases. Prepares reporting and provides information to faculty, advisor or other departments (i.e. student status, course placement, major declarations, transfer credit review, enrollment etc.)
Assist with graduate program admissions coordination and recruitment activities as needed.
Attends meetings and training sponsored by Enrollment Services and related training.
Collaborate with central university services on student records, enrollment, advising, and declarations of major.
Contribute to alumni engagement initiatives and academic outreach activities.
Coordinate course schedules, room assignments, course descriptions, textbook orders, and academic calendar updates.

Coordinates scheduling and logistics for student, recruiting or graduation events.
Coordinate undergraduate academic programs, including additional majors and minors, admissions processes, and course offerings.
Gathers information to support the review and update of program, curriculum, and student information. This includes updating curriculum, student handbook and website or marketing content as directed; printing and organizing student audit reports; making initial recommendations on student course placement or credit transfer requests, etc. for faculty review. Coordinates declaration of majors with other college or central staff student service departments and updates associated databases.
If supporting a graduate program, acts as a first line resource for prospective student inquiries and the application process. Supports and may attend recruiting fairs, coordinates marketing and advertising material production and distribution. Provides administrative support for admissions process by ensuring applications are complete and organizing them for faculty review/decision.
Maintain and update student records, databases, reports, and program documentation.
Plan and coordinate academic events such as orientations, open houses, recruiting fairs, graduations, and outreach programs.
Prepare reporting and provide information to faculty, advisors, and academic leadership (e.g., student status, enrollment, major declarations, transfer credit review).
Provide administrative and project support to the Manager of Academic Programs and the Education Team.

Prepares reporting and provides information to Undergraduate Program Chair, advisor or other departments (i.e. student status, major declarations, enrollment etc.). Will provide administrative, marketing and support for the additional major and minor admissions processes. Maintains undergraduate course offering information and attend job support meetings (advising group meeting by Student Support Services, DARN meetings via the Registrar's Office, and others as needed).
Serve as the first point of contact for prospective undergraduate students; support inquiries, admissions, and application processes.
Serves as a resource to students, faculty, business managers, department heads and other college or central staff student service departments.
Support faculty and program leadership with curriculum reviews, marketing content, student handbook updates, and special projects.
Will assist in coordination of academic outreach, alumni engagement, and events. Participate in meetings and take on other special projects as assigned.
Will provide support to Manager of Academic Programs and Education Team. Supports the Manager of Academic Programs with special projects or assignments as needed. Works with RI Education Team to coordinate planning and arrangements for academic programs, labs, large scale academic events (Open House, Orientation, Graduation, etc) and corresponding special events.
A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Associate's Degree
