Carnegie Mellon University’s Office of Pre-College Programs is searching for an Administrative and Communications Coordinator. This is an excellent opportunity for someone who thrives in an interesting and challenging work environment and enjoys collaborating on communication strategies across the Division of Student Affairs. You will contribute to the department by providing essential administrative coordination and support to the Office of Pre-College Programs.
Your core responsibilities will include:
Front desk reception, answering and responding to departmental phone, email, and walk-in contacts and provide administrative support to departmental leadership team
Reviewing client/student-submitted documents for accuracy and completeness
Processing data entry and record-keeping using departmental databases and software; compiling and distributing reports; ordering and tracking supplies, managing office equipment needs, and maintaining and updating departmental standard operating procedures
Providing administrative support to Pre-College Summer Session academic director
Maintaining and updating department website, Slate system, and social media for the life cycle of the Pre-College programs as well as developing signage, communications, and documents related to department events and programs; proofreading and editing content across all platforms to ensure consistent messaging
Collaborating across the Division of Student Affairs to strategize and align communication efforts that support departmental and divisional goals
Assisting with email marketing campaigns for prospective students; coordinating pre-matriculation communications with students to share expectations and provide instructions
Providing support for tasks related to student events and activities
Other duties as assigned.

Qualifications:
High school diploma/GED required; Associate’s or bachelor’s degree preferred
3-5 years of experience in an administrative role required
Proficiency in the Microsoft Office Suite and/or experience in a university setting is preferred
A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Successful completion of a pre-employment background check
Child Protection Clearances (Act 153)

Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over the sponsorship of an employment visa for this opportunity. Carnegie Mellon is not a qualifying employer for the STEM OPT benefit: only the 12-month OPT may be used to work at Carnegie Mellon.
Work Posture: This position is operating fully on campus.
Typical Work Schedule: Monday-Friday from 8:30am to 5:00pm. An alternate work schedule allowing for evening and weekend hours will be required on occasion to provide administrative and event support as requested by the departmental leadership team.
