Position Summary
Community Aid (Office Support) provides temporary administrative and clerical support to the Mayor’s Office of Arts, Culture & Entertainment (MOACE). This role helps ensure smooth day-to-day operations of the office by assisting with communications, scheduling, document management, and special event logistics.
Key Responsibilities
Serve as first point of contact for phone calls, emails, and in-person inquiries; route requests to appropriate staff.
Draft, edit, and prepare memos, letters, meeting materials, and sign-in sheets.
Assist with scheduling meetings, maintaining calendars, and coordinating logistics.
Organize and maintain filing systems (digital and physical).
Support office supply ordering and track small purchases.
Assist with logistics for public programs, meetings, and citywide events (e.g., sign-in sheets, packet assembly, check-in tables).
Perform general clerical duties such as copying, scanning, and data entry.
Provide additional support to the Director, Deputy Director, and team as needed.
Minimum Qualifications
High school diploma or GED.
At least 1 year of clerical, administrative, or customer service experience preferred.
Basic proficiency in Microsoft Office or Google Workspace (Word, Excel, Outlook, etc.).
Strong written, verbal, and organizational skills.
