Company Description

Appointment Type: Permanent Exempt, Category 18 - this position is excluded by the Charter from the competitive civil service examination process and incumbents are considered “at will” and shall serve at the discretion of the Appointing Officer. The duration of the appointment shall not exceed 36 months.

Job Description

As a Junior Clerk with the Airport Director’s Office, you will be the first point of contact for SFO. You will welcome guests and greet people who visit our office. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. As a team member of SFO, you will embrace SFO’s core values and SFO’s Racial Equity Action Plan.  Essential functions of the position include:

  1. Coordinates Front Desk activities including answering phone calls, welcoming guests and greeting visitors to the Airport Director’s Office.
  2. Files, maintains, and retrieves documents, records, and correspondence in accordance with established procedures.
  3. Receives, reviews, and coordinates conference room reservations for internal departments and Airline tenants.
  4. Codes and indexes documents, records, and correspondence. Methods may include color code, terminal digit, numerical, alphabetical, and/or chronological order to ensure proper filing and ready access of data.
  5. Checks accuracy and reviews a variety of documents for completeness and accuracy.
  6. Compiles information and data necessary for the preparation of general departmental reports by assisting in the selection of data and materials.
  7. Makes mathematical computations using addition, subtraction, multiplication and division of whole numbers, decimals and fractions.
  8. Disseminates information and answers inquiries by communicating with the public, departmental personnel and other departments.
  9. Operates office equipment, including calculators, photocopying equipment, adding machines, computer terminals, document imaging, and fax machines.
  10. Processes mail: opens, time stamps, sorts and distributes the incoming mail; stuffs and seals envelopes; makes daily pickup and delivery to ensure timely mailing and receipt of mail.
  11. Assigns visitor badges and validates parking tickets.

Qualifications

Minimum Qualifications:

  1. Experience: Six (6) months of clerical experience including preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail.

Experience Substitution: Any one of the following may substitute for the required experience:

  • Completion of 15 semester units (or equivalent quarter units) of coursework from an accredited college or university; OR
  • Completion of a clerical training program (240 hours); OR
  • Completion of an approved City and County of San Francisco Clerical Administrative training program (as designated on the job announcement).

One-year full-time employment is equivalent to 2,000 hours (2,000 hours of qualifying work experience is based on a 40-hour work week). Any overtime hours that you work above 40 hours per week are not included in the calculation to determine full-time employment.

Desirable Qualifications: 

The stated desirable qualifications may be used to identify job finalists at the end of the selection process when candidates are referred for hiring.

  • Proven work experience as a Receptionist, Front Office Representative, or similar role reliability.
  • Clerical experience supporting Director-level/C-Suite leadership.
  • Experience creating new processes or systems which had department- or organization-wide implications.
  • Experience creating and delivering presentations to leadership staff.
  • Use of a work computer in a network environment to enter and update data, create documents and use system applications, e-mail, spreadsheets, word-processing and organizer software.
  • A strong team player who works well under deadlines and adapts quickly to solve problems, influence key stakeholders, and thrive in a fast-paced environment.
  • Dependable, consistently strive for excellence, and operate with the highest level of integrity and discretion.
  • Passionate for culture and understand the importance of a company’s culture and its power to drive success.

Selection Procedures:

The selection process will include evaluation of applications in relation to minimum requirements.  Applicants meeting the minimum qualifications are not guaranteed advancement to interview.  Depending on the number of applicants, the Department may establish and implement additional screening mechanisms to comparatively evaluate the qualifications of candidates.  If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the Department will be invited for an interview.

Transportation Security Administration (TSA) Security Clearance: Candidates for employment with the San Francisco Airport Commission are required to undergo a criminal history check, including FBI fingerprints, and Security Threat Assessment in order to determine eligibility for security clearance and may be required to undergo drug/alcohol screening. Per Civil Service Commission Rule Section 110.9.1, every applicant for an examination must possess and maintain the qualifications required by law and by the examination announcement for the examination. Failure to obtain and maintain security clearance may be basis for termination from employment with the Airport Commission.

Customs Clearance: This position requires that the incumbent be qualified for unescorted access to the San Francisco International Airport U.S. Customs Security Area.  An application for a U.S. Custom Access Seal may be submitted to Customs ONLY after employment has commenced.  Employment in this position requires that the incumbent submit an application for, successfully acquire and maintain a Customs Access Seal.  Per Civil Service Commission Rule 110.9.1, every applicant must possess and maintain the qualifications required by law and by the examination announcement for this examination.  Failure to acquire or maintain customs access, a requirement for this position, may be basis for termination of employment with the Airport Commission. Customs Access Seal requirements and procedures are located in the Code of Federal Regulations, Title 19, Part 122, Sections 181 or 189.
