Job Description:
The Executive Virtual Assistant will act as an extension of the VP, managing day-to-day administrative operations in a fast-paced, startup-style clinical laboratory environment. This role requires relentless follow-up, coordination, and proactive management of leadership tasks to free up executive time for strategic initiatives.
- Manage executive inbox, calendar, and meeting schedules.
- Prepare leadership teams for weekly meetings.
- Take detailed meeting minutes and execute follow-up actions.
- Conduct consistent follow-ups with team members to ensure task completion.
- Coordinate with internal departments to maintain workflow efficiency.
- Handle confidential information in compliance with HIPAA and CLIA standards.
- Support strategic projects and operational improvements.
- 4+ years’ experience as an Executive Assistant or high-level VA.
- Proven track record in fast-paced, deadline-driven environments.
- Strong organizational and follow-up skills (“relentless” task tracking).
- Ability to work PST hours, including weekends as needed.
- High attention to detail and discretion with sensitive information.
- Excellent written and verbal communication skills.
- Tech-savvy and adaptable to multiple software platforms.
