We are seeking a Program Specialist to support the successful implementation of AidKit programs. This role is ideal for someone who thrives on organization, clear communication, and making complex systems work smoothly. You’ll collaborate closely with Senior Program Managers (SPMs), cross-functional partners, and external stakeholders to ensure programs run efficiently and participants receive the support they need.
This position focuses on the operational, tactical, and execution-level work that keeps programs moving forward day-to-day. You’ll gain valuable exposure to program management, technology implementation, and direct aid delivery—making this a strong growth opportunity for future advancement within AidKit.
Please note: This is a contract position tied to the funding duration of specific grants or contracts. The position is expected to continue through December 31, 2026, with the possibility of extension contingent upon renewal or extension of funding.
Support day-to-day implementation of AidKit programs, ensuring activities stay on track and issues are promptly flagged.
Track deliverables, deadlines, and milestones; maintain detailed project documentation and status updates.
Coordinate the translation process for recipient communications and application materials.
Assist in testing and launching program tools or workflows in collaboration with technical teams.
Serve as the first line of support for routine partner and recipient inquiries, escalating complex issues to Senior Program Managers as needed.
Draft and update recipient-facing communications such as FAQs, guides, and notifications.
Support partner training and onboarding by creating or maintaining reference materials and documentation.
Conduct data quality checks and flag anomalies for review.
Support development and testing of dashboards and reporting tools.
Prepare or assist in producing recurring programmatic or accounting reports.
Coordinate logistics for user testing, surveys, and feedback collection.
Maintain feedback trackers and compile insights from recipients and partners.
Summarize findings and share recommendations with the program team.
Keep internal SOPs, training decks, and program manuals up to date.
Document recurring workflows and lessons learned to inform continuous improvement.
Manage workstreams or operational tasks under the direction of Senior Program Managers.
Organize meetings, prepare agendas, capture notes, and track follow-up actions.
Support coordination across departments to ensure timely completion of deliverables.
Minimum Requirements
You are located in the United States.
You care deeply about equitable access to aid and believe in delivering resources with dignity.
You have strong organizational skills, attention to detail, and follow-through.
You are proactive, communicative, and thrive in a fast-paced, remote environment.
You have at least 3 years of professional experience in program coordination, nonprofit operations, public administration, social services, or a related field (or equivalent combination of education and experience).
You are tech-savvy and comfortable navigating databases, spreadsheets, and online collaboration tools.
You are a strong written communicator with the ability to draft clear, empathetic, and professional correspondence.
You work well independently but know when to ask for help or escalate issues.
Experience supporting or implementing technology in a program setting.
Familiarity with human services, nonprofits, NGOs, or government-funded programs.
Experience serving or supporting vulnerable or marginalized populations.
Comfort working with data tools (e.g., Airtable, Tableau, Salesforce or similar).
This is a full-time, fixed-term contract position that can be performed remotely from anywhere in the United States.
