The mission of the Office of the Registrar at the University of Texas at Austin is to create, maintain, certify, and protect University records of courses, degrees, and students.

The Office of the Registrar hires for the needs of the entire office.

Purpose

The Associate University Registrar plays a vital leadership role within the Office of the Registrar, supporting the University’s academic mission by managing and overseeing key operational and compliance functions. This position supervises Assistant Registrars and serves as a member of the Registrar’s Office leadership team, contributing to strategic planning, policy implementation, and service delivery improvements. The Associate Registrar ensures that assigned areas operate efficiently, comply with university, state, and federal regulations, and support student success.

Responsibilities

Leadership and Supervision

  • Serve as a member of the Registrar’s Office leadership team, contributing to office-wide planning, coordination, and decision-making.
  • Supervise Assistant Registrars and administrative staff in designated functional areas (e.g., athletic eligibility, state residency determination, compliance). Manage caseload distribution and work assignments.
  • Provide mentorship, training, and performance evaluation to support staff development and operational excellence.
  • Represent the Registrar’s Office on university committees and task forces as assigned.
  • Provides strategic input on office-wide initiatives and ensures alignment of assigned areas with institutional goals and compliance standards.
  • Oversees multiple functional areas, depending on office needs.

Compliance

  • Direct supervisory responsibility for critical compliance areas of the Registrar’s Office including (but not limited to) athletic eligibility certification and state residency determination;
  • Develop tools in identifying risk, determining appropriate mitigation techniques, and testing controls;
  • Oversee compliance-related functions such as athletic eligibility certification, state residency determination.
  • Ensure accurate and timely reporting to external agencies
  • Analyze data and prepare reports to support institutional decision-making and accreditation efforts.
  • Serve as a liaison to auditors and regulatory bodies.
  • Regularly monitors federal, state, and institutional legislation to ensure compliance and proactively adjusts office policies and procedures as needed.

Process Improvement and Collaboration

  • Collaborate with Registrar leadership, IT partners, and campus stakeholders to streamline processes and implement new technologies.
  • Lead or participate in projects to enhance service delivery, data integrity, and operational efficiency.
  • Document business processes and contribute to business continuity planning.
  • Support the development and implementation of academic policies and procedures.
  • Lead the development and implementation of new technology, operating procedures and policies pertaining to the office's technologies with an emphasis on maintaining and ensuring operation continuity and security.

Required Qualifications

  • Bachelor’s degree and 5+ years of progressively responsible experience in a Registrar’s Office or related academic services unit.
  • Supervisory experience, including hiring, training, and evaluating staff.
  • Experience with compliance areas such as state residency, athletic eligibility, Veteran certification.
  • Proven ability to manage multiple priorities in a complex environment.
  • Significant experience interpreting federal and state regulations and implementing successful programs and processes to ensure compliance.
  • Experience identifying compliance risks and implementing policies or processes to mitigate associated risks
  • Demonstrated commitment to providing high-quality customer service and ability to inspire trust of others.
  • Demonstrated ability to communicate effectively; establish, motivate, and lead effective teams; manage conflict and change.
  • Proven expertise in the ability to think critically and creatively, act with strategic agility, deal with ambiguity, evaluate and resolve problems, and formulate strategies to deliver results on long- and short-term goals.
  • Ability to recognize challenges, problem solve, and introduce innovative solutions.
  • Proven ability to implement policies and manage operations in a large, complex environment.
  • Excellent oral and written communication skills to interact with faculty, students, administrators, and external stakeholders.
  • Demonstrated success in hiring, developing, supervising, and evaluating staff.

    Relevant education and experience may be substituted as appropriate.

    Preferred Qualifications

    • Master’s degree in higher education, public administration, or a related field
    • Experience as an Associate or Assistant Registrar in a large, public university
    • Experience working with accrediting agencies, auditors, or government entities.
    • Project management experience and a commitment to continuous improvement.
    • Experience leading and developing managerial staff.
    • Proven ability to deliver high-quality service and build trust with various stakeholders.
    • Advanced skills in planning, organizing, and managing competing priorities.
    • This position is designated as one of Special Trust and requires adherence to university data security and confidentiality standards.

    Salary Range

    $105,000

    Working Conditions

    • May work around standard office conditions.

    • Repetitive use of a keyboard at a workstation.

    • Occasional weekend, overtime, and evening work to meet deadlines.

    • Monday – Friday, 8:00 AM – 5:00 PM on-site work is the standard expectation for this position.

    The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
