Job Description

Be a part of a world-class academic health-care system at UChicago Medicine as a Clinic Coordinator, Sr.

 

As a Clinic Coordinator Sr, you will perform reception and clerical duties of considerable difficulty in outpatient clinic settings. You will be involved with extensive utilization of Hospitals' systems and constant interaction with patients, therapy services staff members, physicians, referral sources, 3rd party payors, and other members of the Hospitals Staff.

 

Essential Job Functions:

  • Schedules all clinic appointments in EPIC for new referrals and return visits via in basket, telephone, fax or email. And/or work queues
  • Triage calls appropriately for requesting preliminary appointments; exercises judgment in referring emergency calls; monitors and acts on voice and email messages appropriately.
  • Schedule from any clinic schedules once submitted.
  • Answers and direct internal and external phone calls verifying demographics, guarantor, insurance and financial data required for billing.
  • Checks in patients upon arrival, assembles paperwork for new patients, notifies therapist
  • Obtains authorization for treatment from managed care organizations, other payers and/or explains self-pay options to patients.  Able to navigate through insurance portals and obtain therapy coverage.
  • Directs patients to Outpatient Services staff, as necessary.
  • Orders supplies in Oracle as directed by management.
  • Utilizes a wide variety of computer systems effectively.
  • Handles confidential information consistent with Federal HIPPA legislation, and all other applicable federal, state, local, and institutional regulations with regard to confidentiality
  • Follows AIDET with all customers and assists in the resolution of patient and other customer complaints
  • Communicates to Directors readily regarding call offs, issues and coverage.
  • Performs other duties assigned.

 

Skills Required:

  • Ability to type 35 wpm or perform data entry at 4500 keystrokes per minute
  • Ability to perform general office duties of filing, copying, operating printers.
  • Familiarity with telephone and intercom systems.  
  • Ability to enter and retrieve data accurately and quickly, check work and resolve mistakes.
  • Strong verbal, writing, and number-comparison skills. Strong interpersonal skills; ability to handle a wide variety of
  • public contacts, including conflicts, with patience, tact, courtesy and discretion.

 

 

Other Critical Requirements:

  • Considerable skill in determining priorities, working independently, and making decisions.  
  • High degree of initiative and problem-solving. Demonstrated ability to exercise judgment, make independent
  • decisions, and assume responsibility. Ability and willingness to cooperate with co-workers, supervisors, and physicians
  • to do whatever needs to be done in order to serve the patient and the flexibility to learn and incorporate new systems
  • and processes. Demonstration of both a strong customer service orientation and a commitment to excellence and
  • accuracy while working in a fast-paced, multi-tasking environment. Ability to attend mandatory training classes offered
  • by the Hospitals after hours or on weekends, with advance notice. Ability to flex work locations as needed to maintain
  • department operations with advance notice.

 

Education Requirements:

  • High school graduate or equivalent.
  • Successful completion of medical terminology class

Compensation & Benefits Overview

 

UChicago Medicine is committed to transparency in compensation and benefits.  The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position.

 

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
