Summary

The role of Administrator for Production Operations presents an empowered opportunity to be a standard-bearer for the premiere recognition of excellence in the television industry, with a particular focus on the production and management of the Emmy® Award events produced by the National Academy of Television Arts & Sciences (NATAS).

The Administrator for Production and Operations should possess a positive and inquisitive personality and be comfortable working in an “all hands on deck” small-team environment. This position is for someone seeking to learn and a taskmaster who is always looking ahead to what can be tackled next. This person will be on site for all NATAS run galas and supporting behind the scenes for all competitions. 

The position is based in our New York City office, and reports to the Manager of Academy Operations. This role is inherently cross-functional and is expected to be at ease with all facets of our event operations as well as the behind the scenes work leading up to a show. The role will have some people-management duties, particularly with respect to outside vendors and freelance contractors engaged for specific events.

 

Challenges & Responsibilities

  • Quickly develop an understanding of the scope of NATAS—its mission, structure, committees, history, staff, executives and the functioning of its five cornerstone programs: Daytime, Children’s & Family, Sports, News & Documentary and Technology & Engineering.
  • Take the lead under the direction of Manager of Academy Operations for approval of clips, licenses (TPS, name and likeness and Master Agreements) and certain graphic elements for shows. 
  • Assist Academy Operations team in credit and entry vetting.
  • Oversee myriad aspects of event organization and execution, production scheduling and team communications.
  • Support the organization by liaising between the Academy Operations, Production  Department and wider staff including keeping and communicating deadlines, scheduling of production meetings, pre-production logistics, site surveys, coordinating with vendors and third-party independent production hires.
  • Manage and coordinate project and event schedules and assignments. Manage post event load-out and post mortem meetings. 
  • Video Editing experience a bonus.
  • Additional duties as assigned.

Candidates for this position should:

  • Have a media production or related education or career background.
  • Have three to five years of relevant experience (including assistant and/or internship work), preferably with a live television and/or event production background.
  • Some experience managing budgets, production schedules and outside vendor relationships.
  • Have the ability to work well under pressure, act in a professional manner and have respect for others - and a strong belief that others should do this in return.
  • Have exceptional attention to detail, an ability to pivot quickly when required, and do not believe any task is “too small.”
  • Have a positive, can-do attitude, with a very strong work-ethic, follow-through, and written and verbal communication skills. 
  • Have the ability to think strategically, conceptually, and creatively, establish relationships, follow through on commitments and decisions, and be a team player.
  • Have the ability to work within prescribed guidelines without needing close supervision and possess problem-solving skills within established procedures, but also know when to ask questions and seek guidance for unforeseen problems.
  • Be based in the greater New York City area, and work effectively in a hybrid office/work-from-home environment (hybrid status is subject to change at any time).
  • Willingness to occasionally travel, and work long days, flexible hours and weekends as needed, particularly during awards ceremony periods.
  • Have complete comfort in the Microsoft Office and Google Workspace suites, Trello and other standard technology tools. Some preference is given to candidates with particular skill sets in Adobe Creative Suite, design, editing & video production, and/or database management.
  • A plus but not required - Familiarity with budget software (like MovieMagic or other production accounting tools), as is familiarity with the procedures and policies of the major industry guilds (SAG-AFTRA, WGA, DGA, etc.).
  • Music Supervisor experience is a plus.
  • Conversational Spanish is a plus.
