The Texas A&M School of Veterinary Medicine & Biomedical Sciences (VMBS) is an institution that represents 100 years of growth from a small school of veterinary medicine in 1916 to its present role as a major veterinary educational, medical, and research center. Today, we are one of the largest schools of veterinary medicine in the United States, training nearly 600 Doctor of Veterinary Medicine students each year. What we want  

The Department of Physiology and Pharmacology is looking for a Program Coordinator to work with toxicology faculty and trainees (MS, PhD and postdoctoral) across campus, advise toxicology graduate students, and coordinate activities in support of the program.

Salary: Starting at $55,000 annually, compensation will be commensurate to the selected hire’s experience.

Qualifications

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience.

  • Two years of administrative experience.

Preferred Qualifications

  • Experience with academic advising in a university setting, grant administration and report preparation, event planning (including travel coordination and scheduling), excellent communication skills (interactions with both faculty, trainees, university administrators, funding agency staff, etc.), and maintaining active social media and online presence (e.g., website maintenance, social media sites).

Knowledge, Skills, and Abilities

  • Excellent oral and written communication skills. Ability to use word processing, spreadsheet and database programs. Ability to lead projects and work cooperatively with others. 

Responsibilities

  • Administrative Support: Plans daily, weekly, monthly, and annual activities together with Program Chair, Vice-Chair and Executive Committee. Works closely with VetMed business office on personnel and financial matters, including but not limited to: tracking expenses; managing budgets; preparing monthly budget reports; overseeing and coordinating trainee onboarding/offboarding, stipend, tuition, medical insurance reimbursements, fees and other payments; managing purchase orders, expense reports, and payment card transactions; tracking spending of trainee travel/support funds. Provides administrative support for the NIEHS Toxicology Training Grant (T32), including but not limited to: support for T32 management, preparation of annual reports, onboarding and offboarding trainees from this funding source (e.g., appointment and termination forms), tracking publications, maintaining CareerTrack database, overseeing financial records, preparing competitive renewals and annual progress reports and other official correspondence with NIEHS.

  • Seminar Coordination: Coordinates Toxicology Seminar series in the fall and spring semester; helps in contacting and inviting prospective speakers, prepare and distribute announcements. Assists speakers in arranging travel, preparing speaker itineraries and reimbursement vouchers.

  • Facilitation: Oversees rotations and choice of final Pl laboratories for the students. Corresponds frequently with departmental administrators and the admissions office as well as fiscal office to assure funding sources for all students. Maintains contact with former students and other external stakeholders.

  • Graduate Advising: Serves as Graduate student advisor. Prepares official correspondence and petitions for graduate students, assists in scheduling preliminary exams and defenses, maintains student records and track student progress. Advises students on course registration and timelines. Tracks annual trainee evaluation for academic program assessment, ensuring timely completion of trainee goals and milestones.

  • Recruitment: Recruits masters, doctoral and postdoctoral trainees into interdisciplinary program. Facilitates application process by updating applicant files, tracking application status, distributing applicant profiles to faculty, processing admissions decisions. Works with Life Sciences Network to organize travel and itineraries for prospective students at the annual Life Sciences Symposium and Recruitment event.

  • Program Coordination: Coordinates faculty participation in Toxicology Program activities. Maintain records and track faculty participation. Coordinates and schedules meetings of the Executive Committee, T32 committees and annual Toxicology symposium.

  • Communication: Maintains and updates Toxicology website and social media accounts on a regular basis (up to weekly). Engage with faculty and students to encourage participation in program activities.

  • Program Evaluation: Conducts program evaluation and outcomes assessment.
