POSITION SUMMARY
The Executive Assistant, Risk Management, position reports to the Senior Vice President, Risk Management, and is responsible for providing support to the administrative and operational duties of a diverse nature to the Risk & Insurance Management team and the Senior Vice President, Risk Management. This position requires a high level of trust and confidentiality, as well as excellent organizational, communication, and interpersonal skills.
This is a hybrid role requiring at least 2-3 days in-person in the New York City office.
JOB RESPONSIBILITIES
Manage the Senior Vice President, Risk Management’s active calendar, including scheduling meetings across time zones, prioritizing requests, and resolving scheduling conflicts.
Organize and support meetings for the Senior Vice President, Risk Management, and team including reserving conference rooms, sending meeting invitations and managing RSVP’s, arranging technical support, placing catering requests, and preparing security access.
Coordinate all aspects of travel arrangements, including flights, accommodations, transportation, and itineraries.
Prepare expense reports for the Risk Management Executive including the team, ensure that they follow corporate guidelines and process with accounting.
Process all invoices for the department, scan and track all payments in shared executive drive.
Prepare and edit correspondence, communications, presentations, and other documents as needed and manage the storage of the digital and physical files, while maintaining confidentiality.
Track projects and work-related issues.
Anticipate department & Senior Vice President’s needs.
Send out department communications.
Coordinate Facilities and IT requests for department including assisting in onboarding new team members.
Track the progress of the insurance policy review with the department.
Review monthly budgets for accuracy. Work with finance and accounting on inaccuracies to ensure correction.
Continually improve processes and procedures to reduce work time including maintaining a paperless work environment.
Prepare and launch documents for e-signature.
Maintain digital contacts and contact distribution lists.
Distribute department mail; arrange messenger and overnight package services; order/maintain department supplies.
Liaise and build relationships with other groups and the administrative community within the organization and with other Sony Group companies and external vendors.
Assist in projects as needed.
Ad hoc support for two additional non department Vice Presidents.
QUALIFICATIONS FOR POSITION
College degree preferred.
Minimum of five (5) years’ executive level administrative experience, preferable within Risk Management.
Highly organized and detail-oriented with an ability to plan and anticipate the needs of the Executive and team.
Strong problem-solving skills and innovative thinking.
Excellent communication (written and oral) and interpersonal skills.
Attention to detail and high level of accuracy in work.
Collaborative team player, working professionally with other departments and assistants within company and other Sony Group companies.
Ability to work independently and follow through on tasks until they are completed.
Advanced Skills in MS Office: Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, Adobe.

Annual incentive bonus
The target annualized base salary range for this position is $78,000 to $86,000. The individual will be paid hourly and eligible for overtime. In addition to the annual base salary, this role has an annual bonus target of 5%. This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
