Responsibilities
- Manage the Vice President’s calendar, scheduling internal and external meetings, donor engagements, and Foundation events with full meeting logistics coordination
- Provide confidential executive support including communication follow-up, task tracking, and project coordination
- Oversee daily Foundation office operations including document retention, supplies, vendor invoicing, and coordination with Philanthropy Operations and Accounts Payable
- Manage Foundation correspondence (mail, phone, email) and respond to routine inquiries professionally and promptly
- Prepare materials and logistics for donor meetings and enter relationship documentation into Salesforce/CRM
- Support Board of Directors and committees by preparing agendas, materials, taking minutes, tracking action items, and distributing communications
- Coordinate sponsorships and partner deliverables in collaboration with Marketing and leadership
- Assist with event preparation and provide on-site support as needed for registration and guest services
- Serve as primary receptionist for the Foundation office, greeting guests and maintaining a welcoming visitor experience
- Anticipate needs, monitor timelines, and proactively prepare materials to ensure seamless execution of initiatives
Education
- High school diploma or GED required
- Post-secondary education or relevant training preferred
