Executive Assistant - Senior Leadership Support

We're seeking an exceptional Executive Assistant to provide high-level administrative support to senior leadership in a growing private company. This role requires someone who can expertly manage complex calendars, handle confidential communications, and take proactive ownership of executive-level projects and travel coordination.

Our client is an established private company with $450 million in revenue and under 2,500 employees, offering a stable yet dynamic work environment. This position is perfect for an experienced EA who thrives on anticipating needs, managing multiple priorities, and maintaining the highest standards of professionalism and discretion.

You'll be the right-hand support for senior executives, ensuring seamless operations while contributing to the success of critical business initiatives. This role offers excellent growth potential within a well-established organization.

Key Responsibilities

  • Calendar Management: Expert-level scheduling and coordination of complex executive calendars
  • Communication: Professional email management and executive-level correspondence
  • Travel Coordination: Comprehensive travel planning and logistics management
  • Project Management: Proactive ownership of special projects and meeting outcomes
  • Administrative Excellence: Prepare materials, manage documentation, and ensure seamless operations
  • Confidentiality: Handle sensitive information with absolute discretion and professionalism
  • Stakeholder Relations: Interface professionally with internal teams and external partners

Essential:

  • 4-6+ years of experience as Executive Assistant to senior leadership
  • Fluent English communication skills
  • Expert proficiency in Google/Microsoft suite applications
  • Advanced calendar and inbox management systems experience
  • Proficiency with Zoom/Teams and other collaboration platforms
  • Associate degree or higher education level
  • Strong judgment, anticipation skills, and written communication clarity
  • Excellent follow-through and stakeholder management abilities
  • Ability to handle confidential information with complete discretion
  • Must be legally authorized to work in the United States

Preferred:

  • Polish language skills
  • Experience with board materials preparation and meeting minutes
  • Light data analysis and reporting capabilities
  • Background in similar-sized private companies
  • Experience supporting C-level executives
  • Salary Range: $45,000 - $60,000 annually
  • Paid Time Off: 20 vacation days and 5 sick days annually
