Program Services Coordinator

This is an exciting opportunity for a highly organized and self-driven professional to contribute to the planning and delivery of high-impact virtual and in-person programs. In this fast-paced, deadline-oriented environment, you will support cross-functional teams to coordinate logistics, communications, and event execution. Your attention to detail and passion for customer service will play a key role in ensuring seamless program operations and an exceptional participant experience.

Accountabilities:

• Coordinate and manage logistical elements for assigned programs, including event registration via CVENT, calendar holds, and communication with AV vendors.
• Monitor and report on RSVP status, deploying recruitment tactics as needed to meet participation goals.
• Support digital workshop execution, including live virtual sessions up to three times per month and during major congresses.
• Maintain accurate documentation and task tracking, including daily updates to program trackers and timely email responses via shared inbox.
• Finalize event closeout deliverables, such as post-event communications and participant lists.
• Collaborate with internal teams, including account managers and the Program Service Director, to ensure program alignment and effective execution.
• Participate in business development efforts by supporting broader team initiatives and cross-functional collaboration.

• Bachelor’s degree with a minimum of 2 years of experience in coordinating event logistics or similar roles.
• Demonstrated ability to manage multiple concurrent projects, meet tight deadlines, and adapt to changing priorities.
• Strong organizational skills and attention to detail, with excellent verbal and written communication.
• Familiarity with digital marketing and virtual platforms; prior experience using CVENT is a plus.
• Availability to work some evenings to support live virtual events.
• Comfort operating independently in a remote, collaborative, and time zone-diverse team.
• Willingness to travel occasionally (less than 5%) for client or project needs, both domestically and internationally.
