Galison/Mudpuppy is seeking a temporary Customer Service/Administrative Coordinator to oversee customer service for 3 ecommerce websites and provide office administrative support for a 40+ person office for an assignment expected to last 5 months.
The Coordinator will also provide front desk and general office administrative support.
This position is expected to be 40 hours per week and the person in this temporary role will work from our office in New York City, M-F.
Customer Service – 80% of position
· Provide exceptional customer service support for three ecommerce sites using Gorgias, assisting our ecommerce customers with customer service issues for galison.com, mudpuppy.com, and brassmonkeygoods.com.
· Respond promptly to customer inquiries through company channels such as email and chat.
· Ensure customer satisfaction which includes processing orders and requests, such as missing puzzle pieces, quality complaints and replacement orders, including communication with our warehouse.
· Answer incoming phone calls to the company’s customer service phone line Mon-Fri, 9am-5pm EST.
Office Administration – 20% of position
· Assist with requests for product donation and charitable contributions and other misc. office requests
· Prepare expense reports for President and Director of Marketing.
· Greet all visitors and coordinate the meeting room schedules, set-up and clean up after use.
· Act as the key contact for 70 West 36th Street building management for building issues.
· Organize outgoing and incoming mail from all carriers.
· Execute administrative office communication regarding announcements as directed.
· Work closely with IT in the on-boarding and off-boarding processes.
· Order and manage office supplies including kitchen, lunchroom, work supplies, conference rooms, and bathrooms.
One-off Q4 projects
Office party planning - we go to the same place every year, so the duties are sending out a form to employees to confirm the headcount and then relaying it to the vendor. On the day of the event they would be responsible for giving out 2 drink tickets per person.
Sending end of year gifts - the list is carried over from prior year and managers review it. The gifts are all delivered to the office (it's the same thing given to employees) and then a big box is sent to Chronicle Books for people there and then individual shipments for customers.

Requirements
· Prior customer service and/or administrative experience, especially experience with Gorgias or Zendesk
· Customer service ticket tracking experience
· Ability to prioritize and manage time effectively to meet deadlines
· Excellent written and verbal communication skills
· Strong organizational skills and exceptional attention to detail
· Proficiency in Microsoft Word and Excel required, and experience using Shopify
