The Role
Foundational Industries is hiring a Director of Administration to build and run our administrative backbone. You’ll be the operating force behind the CEO’s time, company cadence, and an AI‑native back office—owning calendars and travel, vendor and finance coordination, recruiting operations, knowledge systems, and company events. This is a high‑judgment, hands‑on role for a builder who loves systems, precision, and leverage.
Key Responsibilities
Own complex calendars and end‑to‑end domestic/international travel (flights, hotels, cars, visas, restaurants).
Stand up and continuously improve our AI‑automated admin stack (e.g., Ashby for recruiting; Notion or equivalent for docs; Mercury for banking/expenses; Slack/Google Workspace).
Run HR and reimbursement workflows through AI‑native processes in partnership with external vendors; keep records clean and current.
Drive recruiting operations: pipeline hygiene, interview scheduling, candidate briefs, and executive search firm coordination.
Coordinate with outsourced, AI‑forward bookkeeping to deliver an on‑time, accurate monthly close.
Plan and execute company events (offsites, board meetings, expert convenings).
Provide light personal support to reduce friction and context switching for the CEO.
REQUIREMENTS
5+ years in administration/operations supporting a founder or C‑suite; startup, PE/VC, industrials, or AI/robotics exposure preferred.
Proven mastery of executive support, operational rigor, and vendor management.
Fluency with modern tools and AI‑assisted workflows
Strong written communication and impeccable discretion.
Logistics & Compensation
New York City; on‑site 3–4 days/week.
Core hours 9am–6pm with flexibility for urgent needs.
Salary: $DOE + discretionary bonus. Benefits competitive.
