Job Description

Buildings University (BU) is responsible for professional development planning, career counseling, and overseeing the agency’s Learning Management System (LMS). The unit manages the Inspector Training Academy, a 9-week program consisting of classroom learning and field training for newly hired inspectors. Additionally, BU provides oversight of course providers for training that the Department requires from the construction industry.

BU is seeking an organized and detail-oriented Administrative Coordinator who can simultaneously juggle multiple projects under tight deadlines, cross-promote internal resources, perform extensive research, and proactively communicate with subject matter experts, Senior Staff, vendors, internal units, and employees. This customer-oriented, research and database management role will report to the Deputy Director, Budget and Implementation.

Under direction, with considerable latitude for independent action or decision, the Administrative Coordinator, Training will:

- Serve as BU’s primary training and technical support liaison for any classes administered by the Department of Citywide Administrative Services (DCAS).
- Create and process all New Hire accounts for Absorb DOB Learning Management System (LMS) and NYCityLearn (DCAS LMS).
- Recruit and coordinate with subject matter experts to conduct monthly in-person integrity training sessions for newly hired DOB staff.
- Manage all training logistics from scheduling and room set-up to data entry and reporting.
- Manage BU general email box. Process or redirect requests and inquiries to the appropriate parties within BU and/or within the Agency. Record external course completions/conferences/webinars in the Absorb DOB LMS.
- Research vendors and draft Procurement Request Forms and assist with preparing BU’s fiscal year spending plan.
- Purchase materials, conferences, webinars, publications, and trainings for DOB staff.
- Coordinate, administer, and manage logistics for specialized courses (such as Basic Peace Officer course, OSHA 10-Hour General Industry training, and DOB Inspector Training Academy).
- Review and process employee requests for external training opportunities. Manage post-training recordkeeping.
- Other duties as assigned by Deputy Director, Budget and Implementation.

Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
