Position
Arkatechture has an excellent opportunity available for an experienced Events Coordinator with a specific set of skills to join our team. This position involves the coordination, planning, and implementation of a variety of marketing/sales events, logistics, and campaigns in support of the company’s strategic goals and marketing/sales objectives. This person must be highly organized, a great communicator, and comfortable juggling multiple projects and deadlines at a time. The successful candidate will enjoy collaborating with individuals throughout the company and possess a drive for excellence to ensure all the marketing and
sales support needs are being met successfully.
This is a hybrid role that requires physical proximity to Portland, ME for specific in-office tasks such as shipping tradeshow materials, organizing branded swag, and coordinating local events.

Key Responsibilities
- Planning and coordination of events such as trade shows, internal company events, user groups, customer events, webinars, conferences, and on-site sales trips
- Complete event registrations and coordinate with attendees for travel & lodging
- Identify, secure, and coordinate speaking engagements (in-person & virtual)
- Complete virtual booth setups, submit logos and company descriptions
- Procure, organize, and maintain branded and printed promotional items
- Coordinate and meet with event attendees on pre-event, during-event, and post-event activities to include digital communications and event checklists to drive awareness with our audiences
- Curate event attendee lists, manage uploads to CRM, and create leads from events
- Work within an established budget and contribute updates with actual costs, in addition to collaborating with the Accounting team for invoicing
- Identify creative opportunities to differentiate Arkatechture, its solutions, and services from competitors at events
- Participate in regular sales and marketing meetings
- Contribute updates to project management for event marketing activities & deadlines
- Create & define requirements for branded promotional materials
- Collaborate with the marketing team on social media promotions, marketing analytics, and industry trends
- Support speaker preparation, including presentation materials, talking points, and coordination with internal subject matter experts for speaking engagements
- Coordinate logistics for sponsored or co-hosted partner events
- Facilitate post-event evaluations, surveys, and reporting to gather feedback and improve future event performance
- Track event ROI and KPIs in collaboration with marketing operations and sales
- Other duties as assigned, including but not limited to general office administration, mailing client gifts, participation in fun committee planning, and more
- Able to travel to the office for tradeshow booth preparation, shipments, and event locations up to 25% of the time
Skills, Knowledge and Expertise
- Two (2) years of relevant marketing or events coordination experience
- Candidate must be well-organized and able to manage projects efficiently
- Effective communicator who is resourceful, innovative, and a proactive problem solver
- Ability to work collaboratively and independently, as each task requires
- Bachelor's degree in Marketing, Communications or comparable work experience.
- CRM experience with HubSpot or Salesforce
- Analysis and reporting on event activities and results
- Familiarity with a remote work environment (Gmail, Slack, JIRA, Excel, Zoom, etc.)
- Certificate or degree in Events Management & Planning or similar
- Experience managing vendor relationships (e.g., booth design, A/V, catering, promotional item suppliers)
